Overview Join our dynamic team as a Customer Service Representative and become the friendly, helpful voice that keeps our clients engaged and satisfied! In this energetic role, you will be the first point of contact for customers, providing exceptional support via phone, email, and in person. Your organizational skills, financial administrative experience, and technical proficiency will ensure smooth office operations while fostering positive relationships with clients. You will also support essential accounting and inventory functions, including invoicing, billing, accounts receivable, inventory management, and ordering. Responsibilities Greet visitors at the front desk with professionalism and warmth, managing multi-line phone systems to direct calls efficiently. Respond promptly to customer inquiries via phone, email, or in person, delivering clear and courteous support. Prepare, process, and distribute customer invoices accurately and in a timely manner. Handle billing activities, including reviewing charges, processing payments, resolving billing questions, and maintaining accurate customer account information. Assist with accounts receivable functions, including posting payments, monitoring outstanding balances, following up on past-due accounts, and maintaining accurate receivable records. Maintain accurate financial and customer records through data entry, filing, and updating spreadsheets using productivity software such as Microsoft Office and QuickBooks. Assist with inventory management by monitoring inventory levels, tracking product usage, maintaining accurate inventory records, and identifying items requiring replenishment. Prepare and process purchase orders and product orders based on inventory needs and customer requirements. Coordinate with vendors and suppliers regarding product availability, pricing, order status, deliveries, and discrepancies. Receive, verify, and document incoming shipments and ensure inventory records are updated accordingly. Assist with office management tasks such as calendar management, appointment scheduling, and document proofreading to ensure organizational efficiency. Support client communication efforts by preparing correspondence, managing client files, and ensuring timely follow-up. Handle clerical duties including filing, photocopying, scanning, processing paperwork, and managing office supplies to keep the workspace organized. Maintain organized records of invoices, payments, purchase orders, inventory, and customer accounts. Collaborate with team members on administrative, accounting, inventory, and customer service projects to enhance overall productivity and service quality. Maintain confidentiality when handling customer, financial, billing, and business information. Requirements Proven experience in customer service, office management, administrative, billing, or accounting support roles with strong clerical skills. Experience with invoicing, billing, accounts receivable, payment processing, or related accounting functions. Experience with inventory management, purchasing, ordering, or vendor coordination is highly desirable. Excellent computer literacy with proficiency in Microsoft Office, particularly Word and Excel, spreadsheets, and productivity software. Experience with QuickBooks or similar accounting and financial management software. Prior experience with customer service or front desk responsibilities is highly desirable. Strong organizational skills with the ability to multitask effectively in a fast-paced environment. Exceptional phone etiquette and communication skills—bilingual abilities are a plus! Familiarity with data entry, filing systems, calendar management tools, invoicing systems, and accounts receivable processes. Ability to maintain accurate records and reconcile invoices, payments, inventory counts, and customer account information. Technical proficiency with multi-line phone systems, QuickBooks, general office equipment, and computerized inventory or ordering systems. Strong attention to detail and accuracy when handling financial transactions, invoices, payments, inventory, and customer records. Demonstrated ability to handle confidential information discreetly while maintaining a positive and professional attitude.
