About the Role We're looking for a friendly, organized, and tech-savvy Administrative Assistant / Homeowner Service Representative to be the welcoming face of one of our community offices. This is a full-time, dual-role position that blends front-desk reception, homeowner service, and administrative support. If you love helping people, staying organized, and learning new tools, this could be a great fit. You'll be the main point of contact for residents, owning their experience from first hello through full resolution while keeping the office running smoothly behind the scenes. What You'll Do Greet owners and guests warmly in person, by phone, and by email Serve as the primary contact for homeowner questions on accounts, payments, and requests, following each one through to resolution Process access cards, permits, decals, and guest passes Prepare board packets, take minutes, process architectural applications, and handle filing, mail, and communications Help plan and organize community events, send announcements and newsletters, and create flyers and graphics with tools like Canva Support daily deposits, receipts, and owner records in our management software (CINC) Provide coverage for the Community Association Manager during lunches, board meetings, occasional Saturdays, and one later weekday shift (approximately 10:00 AM to 6:00 PM) What We're Looking For 2+ years of administrative or customer service experience Warm, professional communication style and a service-first mindset Strong organization, attention to detail, and the ability to juggle priorities Comfortable with technology and quick to learn new software and tools Proficiency in Microsoft Office (Word, Excel, Outlook) Community association/HOA experience, Canva/design skills, bilingual (English/Spanish), or Notary certification are all a plus Why Join Us Full-time role with opportunity for growth Supportive, collaborative team Work-life balance A chance to make a real impact in the communities we serve
