Job Description

Overview We are seeking a dedicated Automotive Service Writer who is self motivated to join our team and be the initial face of the business. The ideal candidate will have some understanding in automotive repair and office operations, with the ability to write up jobs, take in customer concerns and basic book keeping. This position will play a crucial role in every job from start to finish, and contributing to the overall success of our operations. We are a drug and smoke free workplace Key responsibilities include but not limited to:
Customer Communication and Intake:
Greeting customers in a courteous and friendly manner. Listening attentively to customer's concerns and documenting vehicle issues. Providing information about services and maintenance schedules. Explaining complex repairs in a clear and concise way. Handling customer complaints and ensuring resolutions. Updating customers throughout the repair and if there is a change of schedule.
Service Department Coordination:
Scheduling service appointments in shop management software. Writing and submitting service orders for repairs and maintenance. Coordinating with technicians to ensure timely and efficient service based on current workload.
Administrative and Financial Tasks:
Providing accurate estimates of service costs and timelines. Ordering parts required for repairs. Sourcing alternative options for parts based on availability, cost, and OEM or better quality. Checking in packages and organizing recieved parts according to work order. Billing clients and managing work transactions. Maintaining detailed records of customer interactions and service history. Operating computer software for scheduling, invoicing, and payment processing. Filing and following up with warranty or insurance claims. Filing and organizing records of invoices, parts, etc. for taxes in quickbooks. Create and maintain an organized and inviting work/office area. Strong communication skills and ability to work well within a team environment. A valid driver's license is required. Must be able to pass a drug test Essential skills and qualifications Excellent communication and customer service skills: To effectively interact with both customers and technicians. Strong attention to detail and organizational skills: For accurate documentation and record keeping. Ability to multitask and work in a fast-paced environment: To manage various tasks and handle multiple customers concurrently. Proficiency in computer software and programs: Including automotive service software and accounting systems. Mechanical aptitude and knowledge of automotive systems: To understand customer concerns and communicate effectively with technicians.
Understanding basic diagnostic equipment:
To scan and record initial trouble codes for customers as needed and provide a printout with technician work order. Pay to be discussed based on experience and qualifications.
