Job Description
Overview The Customer Order Fulfillment Specialist is a customer-focused, hands-on position responsible for managing customer orders through fulfillment and shipment. This individual communicates professionally with customers, sales representatives, carriers, and internal departments while continuously picking, verifying, packing, labeling, and preparing orders for shipment. The role requires strong computer skills, attention to detail, accurate inventory and transaction records, and the ability to follow order and delivery issues through resolution. The specialist is also fully cross-trained in receiving and provides coverage when needed. Key Responsibilities Customer Service & Order Communication Serve as a responsive point of contact for shipment status, tracking, delivery questions, order changes, delays, damages, and other fulfillment-related concerns. Work closely with sales representatives to confirm order details, shipping instructions, customer expectations, and special handling requirements. Coordinate with carriers and internal departments to resolve order, inventory, freight, and delivery issues accurately and promptly. Document customer and order updates in Salesforce, Fishbowl, email, and other company systems and follow issues through resolution. Hands-On Order Fulfillment Continuously pick customer orders from assigned inventory locations and verify the correct part numbers, quantities, and condition before packing. Pack, protect, label, weigh, and stage orders accurately for parcel or freight shipment, following company and branded-packaging standards. Create shipments in Fishbowl, carrier portals, and related systems; select an appropriate shipping method and verify service level, cost, and documentation. Build and wrap pallets, prepare freight paperwork, schedule carrier pickups, and coordinate outbound logistics for timely delivery. Maintain accurate shipping records, tracking information, and order-status updates; proactively identify delays, backorders, damages, address issues, or carrier exceptions. Inventory Control & Systems Accuracy Maintain accurate inventory quantities, locations, and transactions in Fishbowl and other company systems. Participate in cycle counts and spot counts; research variances, identify root causes, and help correct discrepancies. Organize and maintain assigned inventory and fulfillment areas using clear labeling and visual organization/5S standards. Support inventory adjustments, transfers, scrapping/cycling transactions, and related documentation as authorized. Monitor packaging and shipping supplies and communicate replenishment needs before shortages affect fulfillment. Receiving Coverage Cross-train on the complete receiving process and provide dependable coverage when the primary receiving employee is absent or additional support is needed. Check delivery drivers in and out and help coordinate receiving flow when assigned. Verify incoming products against bills of lading, packing slips, and purchase orders, including part numbers, quantities, condition, and visible damage. Enter receiving transactions accurately in Fishbowl/ERP and communicate shortages, overages, damages, or other discrepancies promptly. Assist with unloading, put-away, and material movement as needed. Forklift experience is preferred but not required; willingness to complete company-provided training is expected. Qualifications & Skills Strong customer-service mindset with clear, professional verbal and written communication. Strong computer skills and confidence learning ERP, CRM, carrier, and order-management systems; experience with Fishbowl, Salesforce, or similar systems is a plus. High attention to detail, dependable follow-through, and a commitment to accurate orders, inventory records, and system transactions. Ability to organize multiple orders and priorities, recognize problems, and investigate discrepancies through resolution. Ability to work independently while collaborating effectively with sales, purchasing, operations, customers, carriers, and warehouse personnel. Previous experience in shipping, order fulfillment, inventory control, customer service, order processing, e-commerce, or a related environment is preferred. Forklift experience or certification is preferred but not required. Physical & Work Requirements This is an active, hands-on position that requires regular standing, walking, bending, reaching, lifting, carrying, picking, packing, and moving products throughout the workday. Must be able to safely handle the products, packages, tools, and materials associated with assigned duties, with reasonable accommodation where applicable. Must be comfortable working in both warehouse and computer-based work environments and transitioning between them throughout the day. Additional Responsibilities Provide backup support across shipping, receiving, inventory, and drop-ship workflows as business needs require. Identify practical opportunities to improve accuracy, customer experience, shipping cost, workflow, and warehouse organization. Perform other duties as assigned in support of the team and company operations.
