9:30 AM-3:00 PM Neighborhood Vet is looking for an experienced Veterinary Receptionist / Client Care Advocate (CCA) who is passionate about delivering an exceptional client experience. We are a primary care veterinary clinic focused on preventive care, wellness, and common minor illnesses for dogs and cats. Our clinic was designed around making veterinary care more approachable, comfortable, and convenient for both pets and the people who love them. While loving animals is important, this is very much a people-centered role. Our Client Care Advocates spend their day communicating with pet owners, solving problems, coordinating care, managing schedules, discussing costs, and helping clients feel confident about what happens next. We are a growing practice, which means our team members also need to be comfortable adapting as workflows, technology, and clinic needs evolve. The Person We're Looking For We are looking for someone who is: Exceptional with people. You understand common veterinary terminology, medications, preventive care, basic medical concerns, and when a situation may require urgent attention. Detail-oriented. Comfortable discussing money. You can clearly explain fees, estimates, treatment plans, and payment expectations without becoming uncomfortable or defensive. A strong multitasker. You can manage phones, texts, emails, appointments, client questions, prescription requests, and an active lobby while keeping priorities straight. Emotionally intelligent. You understand how your communication, attitude, and behavior affect clients and coworkers. Team-minded. You help where needed rather than focusing only on what is or is not "your job." Adaptable. This is not a traditional front-desk position where the primary responsibility is simply answering phones and checking clients in. Our CCAs are an important part of the pet's care team and are expected to think critically, communicate confidently, and take ownership of the client experience. What You'll Do As a Client Care Advocate, you will: Serve as the first point of contact for clients in person, by phone, text, and email. Deliver concierge-level client service so clients feel heard, supported, informed, and welcomed. Manage appointment scheduling and help maintain an efficient daily clinic workflow. Gather information from pet owners and appropriately triage client concerns and requests. Recognize common veterinary conditions, terminology, medications, and potential emergencies and know when to involve the medical team. Educate clients about appointments, preventive care recommendations, treatment plans, medications, and next steps. Communicate costs and estimates clearly and professionally. Process payments and complete client checkout accurately. Generate and process sales of retail products, prescription medications, and other clinic items. Maintain accurate client and patient records in our practice management system. Coordinate prescription requests, follow-up communication, and other client needs with the veterinary team. Greet dogs and cats appropriately and help create a calm, low-stress environment in the lobby. Work closely with the veterinarian and Pet Care Advocate team to keep appointments and clinic operations running smoothly. Help maintain a clean, organized, professional, and welcoming clinic environment. Learn and adapt to new technologies, systems, and workflows. Participate in community events and clinic outreach when needed. Step in and support the clinic team wherever necessary to help our clients, patients, and coworkers succeed.
Qualifications Preferred qualifications include:
2+ years of veterinary experience , particularly in a veterinary receptionist, CSR, client service, or similar role. Strong understanding of veterinary terminology, preventive care, common conditions, medications, and basic patient triage. Excellent verbal and written communication skills. Strong customer service and problem-solving abilities. Confidence communicating with clients about finances and medical recommendations. Ability to remain organized while managing multiple priorities and interruptions. Strong attention to detail and accurate record keeping. Comfort learning veterinary software, communication platforms, and other technology. Ability to interact safely and appropriately with dogs and cats. Ability to stand for extended periods and lift up to 30 pounds. Saturday availability and scheduling flexibility.
