Client Service Associate We are a growing financial services business. What began as a family business has grown into a place where we treat our people like family. Some firms say they have satisfied clients, but we have hundreds of hand-written client reviews to show it. Clients trust us to provide expert and wise counsel, and we do our darnedest to deliver. We always attempt to be humble, professional, knowledgeable, honest and approachable and down-to-earth. We're just ordinary folks trying to do an excellent job. We are collegial but hold each other to a high standard. We try not to make mistakes, but being human we sometimes do, and we own up to it and make it right. To that end, we are looking for a Client Service Associate who can provide an excellent level of support for both our clients and prospects, and provide that critical infrastructure for this process. The Role The role of our CSA is to be the single point of contact for all our daily operational and servicing needs. You will enhance the client experience and provide exceptional service, support the firm's functions, as needed, and serve as administrative and operational support to the Financial Advisor. Our ideal candidate works well as part of a team and does not get ruffled by high pressure deadlines. Monthly bonus based on individual and/or team performance is available.
The duties include:
Data entry, including entering meeting notes and processing paperwork for client accounts. Administrative support that includes, but is not limited to, answering phones, responding to incoming emails, preparing outgoing emails, and managing the calendars for the Financial Advisor's client and prospect appointments. Produce portfolio reviews for prospects. Keep your needed supplies well-stocked. Preparing Meeting Agendas for your meetings with the Financial Advisor. Onboard new client accounts, including assisting the Financial Advisor to complete the documentation and applications. Maintain client relationships through the processing of client requests, resolving client inquiries, and ensuring that client information and documentation is kept current. Respond rapidly to client concerns and maintain regular status updates regarding their service issues. Create and compile service reports and financials for management purposes. We will provide training for the role and your specific duties. Who You Are You thrive in a high-energy office environment. You are also detail-oriented and checklist-driven. This is a full-time position with compensation that is commiserate with experience and competency level. We have room to grow. We will provide training for the role and your specific duties. Once you pass your 90-day introductory period, you will be eligible for benefits including paid vacation, paid personal and sick time off, health insurance, and 401k plan.
REQUIRED SKILLS AND QUALIFICATIONS
Strong working knowledge of MS Office suite programs. Excellent organizational and multitasking skills. Attention to detail and ability to independently solve problems. Ability to explain complex concepts in a clear, simple manner to clients. Excellent organizational and multitasking skills. Ability to maintain a calm and polite manner in stressful situations. Willingness to cooperate with clients and management to resolve any issues that may arise. It's helpful, but not required, if you have familiarity with customer-relationship management (CRM) software programs.
