The Client Services Coordinator plays an important role in helping families begin services and ensuring our clinical teams have the administrative support needed to provide high-quality care. Responsibilities include supporting families throughout the intake process, coordinating client and staff scheduling, and assisting with daily clinic operations. The position will begin fully onsite at our Ankeny location to support training and familiarity with clinic processes. What You'll Do Client Intake and Family Support Serve as an initial point of contact for prospective families, responding to phone calls and online inquiries with professionalism, empathy, and clarity. Guide families through the intake process, from initial contact through readiness for assessment. Collect, verify, and organize required documentation, including diagnostic reports, prescriptions, and insurance information. Maintain accurate intake records and provide families with timely updates regarding next steps. Scheduling and Clinical Support Assist with daily schedule updates, including staff absences, client cancellations, and technician reassignments. Review and cross-reference staff schedules, client authorizations, and service hours for accuracy and to support effective use of authorized services. Communicate schedule changes promptly and collaborate with Operations, Clinical Supervisors, and Board Certified Behavior Analysts (BCBAs) to address scheduling needs. Administrative Support Provide administrative assistance and backup coverage for daily office operations. Review and assist with audit entries within the clinic's practice management and electronic health record systems. Answer incoming calls, welcome visitors, manage mail, monitor office supplies, and assist with other administrative responsibilities as needed. Qualifications and Requirements Education and Experience High school diploma or equivalent required; associate's or bachelor's degree preferred. At least one to two years of experience in administrative support, scheduling, customer service, or a related role. Experience in healthcare, behavioral health, or an Applied Behavior Analysis (ABA) setting strongly preferred. Preferred Skills Strong organizational, time-management, and problem-solving skills, with excellent attention to detail. Ability to manage multiple responsibilities, deadlines, and changing priorities. Clear and professional communication skills when working with families, staff, and clinical professionals. Strong computer skills and comfort learning new systems; experience with electronic health records, clinic management platforms, Microsoft Office, or Microsoft Teams preferred. Dependable, adaptable, and comfortable working collaboratively in an active clinic environment. Eligibility Requirements Must pass all required background checks, including criminal history and child/dependent adult abuse screenings. Must be legally authorized to work in the United States and provide proof of eligibility as required. Must be able to communicate effectively in English through speaking, reading, and writing. Must maintain strict confidentiality regarding clients, families, employees, and clinic operations.
