Job Summary We are seeking a dynamic and organized Client Service and Office Assistant to join our team! This vital role combines exceptional customer service skills with efficient office management to ensure smooth daily operations. As the first point of contact for clients and visitors, you will create a welcoming environment while handling administrative tasks with precision and professionalism. Your proactive approach and strong organizational skills will contribute to a positive experience for clients and colleagues alike, supporting the overall success of our office. Responsibilities Greet clients, visitors, and vendors warmly, providing excellent customer service and guiding them appropriately Manage multi-line phone systems, answering inquiries promptly and directing calls efficiently using professional phone etiquette Handle front desk duties, including scheduling appointments, maintaining visitor logs, and managing incoming correspondence Perform data entry tasks accurately using Microsoft Office applications and bookkeeping software such as QuickBooks Maintain organized filing systems, both electronic and paper-based, ensuring confidentiality of sensitive information Assist with office management duties including supply inventory, mail distribution, and basic troubleshooting of office equipment Support administrative functions such as proofreading documents, preparing reports, and managing calendars to optimize time management for staff Requirements Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy in general Experience with QuickBooks or similar bookkeeping software is highly desirable Excellent phone communication skills with proper phone etiquette and multi-line phone system handling capabilities Strong attention to detail in data entry, proofreading, and document management Ability to handle confidential information responsibly with integrity Prior experience in customer service or client communication roles preferred Demonstrated ability to manage time effectively while juggling multiple tasks in a fast-paced environment Personal assistant or office management experience is advantageous Join us to be part of a vibrant team dedicated to delivering outstanding client support while maintaining an efficient office environment.
