Job Description

ULTRALawn is looking for a dependable, organized person to join our office team. We are a locally owned lawn and landscape company that has served the Cedar Rapids area since 1985. As the first person most callers reach, you will help shape their experience with ULTRALawn. You will answer questions, help customers purchase services, and manage day-to-day accounts receivable. This is an established, long-term role working closely with our Office Manager and the rest of our team. Schedule This is a year-round position, typically 40 hours per week. The workday starts at 7 a.m. during the growing season and 8 a.m. in winter. During slower winter periods, hours may be reduced to 32 per week, with Fridays off when workload allows. Dependable attendance and punctuality are essential so customer messages reach our field crews before they leave for the day. Responsibilities Serve as the first contact for incoming calls and provide a high level of customer care by phone, email, text, and in person. Review voicemail, texts, and emails at the start of each day and promptly relay time-sensitive information to our team. Explain our services, answer purchasing questions, and help new and existing customers sign up for service. Enter and maintain accounts receivable records and accurately apply customer payments. Take payments by phone, collect the mail, and scan checks for electronic deposit. Run accounts receivable aging reports and apply finance charges according to company procedures. Regularly follow up on past-due balances by phone, text, and email in a professional, courteous manner. Coordinate with managers and field employees to resolve customer and scheduling issues. Work with the Office Manager to resolve unusual transactions or account discrepancies. Perform daily administrative and office duties, including correspondence, document preparation, data entry, and maintaining organized records. Assist the Office Manager and other staff with special projects and other office responsibilities as needed. What We Look For Dependable attendance, punctuality, and consistent follow-through. Strong customer service and communication skills, with a friendly, professional phone manner and a willingness to listen and help. Working knowledge of Microsoft Word and Outlook, solid general computer skills, and the ability to learn company software. Accuracy with numbers, payments, and customer records. Strong organizational skills and the ability to prioritize tasks, handle frequent interruptions, and return to unfinished work without losing track of details. Ability to work independently, solve problems, and follow tasks through to completion. Ability to work well with other office staff, managers, and field employees as part of a team. Comfort discussing services and prices, helping customers make purchasing decisions, and following up on unpaid balances. Previous customer service or office experience preferred; accounts receivable, collections, or service sales experience is especially helpful. Successful completion of a background check.
