Customer Service Representative Position Overview Custom Air Company is seeking a friendly, dependable, and customer-focused Customer Service Representative to join our growing HVAC team. As the first point of contact for our customers, you will play a key role in creating a positive experience by providing exceptional service, coordinating appointments, and supporting our technicians and office staff. The ideal candidate is organized, detail-oriented, comfortable with technology, and thrives in a fast-paced environment. Key Responsibilities Answer incoming phone calls, emails, and customer inquiries professionally and courteously. Schedule service calls, maintenance appointments, and follow-up visits. Communicate appointment updates, delays, and rescheduling needs to customers promptly. Follow up after completed service appointments to ensure customer satisfaction and address any concerns. Assist customers with billing questions, service agreements, and estimates. Maintain accurate customer records and update information within the company's scheduling and management system. Provide prompt and effective solutions to customer concerns while ensuring a positive customer experience. Support office operations by assisting with administrative tasks as needed. Qualifications Previous customer service, administrative, or office experience preferred. Experience managing a multi-line phone system and handling high call volumes. Strong organizational and time management skills with the ability to prioritize multiple tasks. Excellent verbal and written communication skills with a professional phone presence. Proficiency with computers and common office software; ability to learn new systems quickly. Experience with scheduling, calendar management, filing, data entry, and recordkeeping. High attention to detail and the ability to handle confidential information with discretion. A positive attitude, strong work ethic, and commitment to providing outstanding customer service.
