Summary:
Work on the phone, email and sometimes in person to help fulfill orders for customers. Detail oriented and accurate when taking orders and filling out reports as required; comfortable with redundant work and day to day variety. Social skills are vital.
Essential Functions:
I. Primary Duties A. Greet customer on the phone warmly and ascertain questions or reason for the call. 1. Act as liaison between company and customer, provide product / service / parts information and resolve any emerging problems / questions customer may have with accuracy and efficiency. B. Manage large amounts of incoming phone calls. C. Enter orders into system, reviewing for accuracy and completeness. D. Prepare shipping documents, tags and other items as required per order. E. Contact shipping companies or customers with order pick-up information as provided by company's shipping department. F. Close orders and prepare invoices for customers once order is compete and shipped, reviewing for accuracy. G. Process credit card payments using third party website. Assist with processing checks received from customers. H. Check inventory to make sure requested product(s) are available and communicate status to the customer. I. Prepare freight quotes for customers when requested, using third party website. J. File copies of orders received and invoiced. K. Prepare daily reports and distribute reports to members of sales department. L. Responds to inquiries; research and resolve problems related to transactions handled by the company; serves as liaison in the resolution of day-to-day questions / problems with customers. M. Performs miscellaneous job-related duties as assigned. II.
Knowledge, Skills and Abilities Required:
A. Strong interpersonal communication skills and the ability to work effectively with a wide range of customers. B. Strong phone contact handling skills and active listening. C. Knowledge of wholesale sales principles. D. Ability to use parts manuals to assist customers with repair part questions. E. Ability to multi-task, prioritize and manage time effectively. F. Patient, empathetic, problem solving. G. Ability to create, compose and edit written materials. H. Ability to use company computer software programs. I. Ability to use Word, Excel, , create PDF documents J. Ability to foster a cooperative work environment.
