Goals and Standards Advisor and client service coordinator emails are checked no less than four times dailyAll phone calls and emails are responded to the same day if received prior to 3:00pmResponded to by 10:00am the following day if received after 3:00pmAdvisor calendars are managed to ensure that all clients are met with according to their level of serviceNeeds Analysis Meetings are scheduled with the right advisor based on prospect source and complexityOpportunities and Financial Planning fees (expected, outstanding, and collected) for Financial Planning Team are tracked and managedTop ResponsibilitiesClient communicationsNeeds Analysis Meeting scheduling Manage financial advisors calendarsCoordinate JT meetings with internal/external professionalsFinancial Planning Fee and Opportunity management Responsibilities and TasksMonitor Financial Advisor(s) email inbox, voicemail, and incoming client phone calls to identify and respond to client service related correspondence from clientsManage Financial Advisor(s) calendars, schedule and reschedule client appointments, conference calls, and web meetingsCoordinate joint client meetings with other professionals (i.e. elder law attorney, etc.) Manage the Estate Planning execution process (including scheduling with attorney, assigning notaries and witnesses)Track Opportunities and Financial Planning fees (expected, outstanding, and collected) for Financial Planning Team Prepare financial planning fee, and other, invoices and agreements for client meetingsUpdating the appointment template to reflect current financial planning fee status Serve as back-up to ICs (over-flow and out of office) Required Education, Skills, and Character TraitsBachelors degree from an accredited college or universityFinancial industry experience preferred, but not required Willingness to pursue industry credentialsStrong written and verbal communication skillsSignificant computer and software training or experience (i.e. Microsoft Office, CRM Software, and QuickBooks)Above average typing skillsAbove average math skills and analytical abilitiesMust be well organized with time, resources, physical office space, and client documents/information, detail oriented, and be able to manage a large workloadMust be intrinsically motivated and able to work individually with little directionMust be a team player and able to collaborate with team members and financial professionals from other firmsComfortable interacting with clients via telephone, email, video conferencing, or face-to-faceHistory of prudent management in personal financesMust be coachable, goal oriented, grasp concepts quickly, able to work in a fast-paced environment, embrace change, and have a strong desire to learn and grow in the financial services industryMust have a desire to pursue professional development
