The Client Service Assistant provides administrative, operational, and relationship support to a team of Financial Advisors within the Meritrust Wealth Management program. This role is responsible for delivering an exceptional member experience by coordinating advisor activities, supporting client relationships, maintaining accurate records, facilitating operational processes, and assisting with business development initiatives within an unlicensed capacity. Working closely with Financial Advisors, internal business partners, and broker dealer support teams, the Client Service Assistant helps improve advisor efficiency, enhances service quality, and supports the continued growth of the Wealth Management program while adhering to all regulatory requirements and internal policies.
ESSENTIAL FUNCTIONS
Coordinate advisor calendars, client appointments, and meeting logistics. Prepare advisors for client meetings by gathering required information, reports, and documentation. Schedule client reviews and assist with advisor-initiated projects and campaigns. Respond promptly to member inquiries through phone, email, and other communication channels. Coordinate client communications, document signatures, and follow up activities. Support seminars, workshops, client appreciation events, and marketing initiatives. Maintain advisor voicemail, departmental email, and incoming correspondence. Identify and route referral opportunities through meaningful member interactions. Process administrative paperwork and client service requests within the scope of an unlicensed role. Coordinate with internal departments, broker dealer, and vendor partners to ensure timely service. Assist with client onboarding, account servicing, and operational workflows. Support outbound member outreach, lead follow up, referral initiatives, and advisor business development activities. Identify opportunities to improve operational efficiency and client service. Maintain accurate and timely client and prospect information within CRM and other required systems. Document client interactions, appointments, service requests, and follow up activities. Generate reports and support advisor pipeline, marketing, and client service initiatives. Collaborate effectively with Financial Advisors, internal business partners, and operational support teams. Share best practices and contribute to process improvements. Support teammates during periods of increased workload. Maintain knowledge of Credit Union products, Wealth Management services, policies, and procedures. Other duties as assigned.
EDUCATION/CERTIFICATION
High school diploma required. Associate's degree preferred.
REQUIRED KNOWLEDGE
Strong organizational, communication, and relationship building skills. Ability to manage multiple priorities with exceptional attention to detail. Proficiency with Microsoft Office, CRM systems, and business applications. Ability to maintain confidentiality and exercise sound judgment. Demonstrated commitment to exceptional member service, teamwork, and continuous improvement.
EXPERIENCE REQUIRED 2-3
years of experience in banking, financial services, wealth management, or customer service preferred. Experience supporting client relationships, scheduling appointments, coordinating communications, and managing service requests. Experience maintaining records, processing documentation, and working within established policies, procedures, and regulatory requirements. Previous experience supporting financial advisors, investment professionals, sales teams, or relationship-based service organizations is preferred but not required.
HARD/TECHNICAL SKILLS/ABILITIES
Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Customer Relationship Management (CRM) systems and data management. Calendar management and appointment scheduling. Document preparation, review, and record maintenance.
WORKING CONDITIONS
