In this role, you will serve as the primary point of contact for our clients and customers, providing exceptional support through various communication channels. Your responsibilities will include addressing inquiries, managing administrative tasks, and ensuring a positive customer experience that aligns with our commitment to service excellence. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive attitude to foster customer satisfaction and operational efficiency. Responsibilities Respond promptly and effectively to customer inquiries via multi-line phone systems, email, and live chat platforms Manage front desk operations, including greeting visitors and handling incoming calls with professionalism and courtesy Maintain accurate records through data entry, filing, and updating customer information in our systems Utilize office management tools such as Microsoft Office, Google Workspace, and QuickBooks for documentation and administrative tasks Support appointment scheduling, calendar management, and follow-up communications for internal teams or clients Assist with clerical duties including proofreading documents, organizing files, and managing correspondence Provide excellent phone etiquette while supporting customer support initiatives and resolving issues efficiently Perform basic bookkeeping tasks such as invoicing, billing, and tracking payments when necessary Coordinate with team members to ensure smooth office operations and timely completion of administrative projects Uphold confidentiality and demonstrate strong organizational skills to manage multiple priorities effectively Requirements Proven experience in office management, clerical work, or customer service roles; prior dental or medical receptionist experience is a plus Proficiency in computer literacy with strong skills in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry applications Familiarity with QuickBooks or similar accounting software is desirable Excellent organizational skills with keen attention to detail and accuracy in proofreading and data management Strong phone etiquette and communication skills; bilingual abilities are highly valued Ability to handle multi-line phone systems efficiently while maintaining professionalism Prior experience in administrative support or personal assistant roles preferred Knowledge of office procedures such as filing, calendar management, and time management techniques Demonstrated ability to prioritize tasks effectively in a fast-paced environment If you are an energetic professional eager to deliver outstanding customer service while supporting office operations seamlessly, we encourage you to apply today.
