Job Description
Fairwinds - Nantucket's Behavioral Health Center is seeking a dedicated and organized Front Desk Administrator to join our team. This part-time, year-round position offers an opportunity to contribute to vital Behavioral Health Services on Nantucket. This position will start at per diem $25/hr. The role involves providing front desk support, maintaining a welcoming environment, and facilitating client interactions while ensuring exceptional customer service. Key Responsibilities Answer incoming phone calls and respond to text messages in a timely and professional manner. Welcome clients and check them in and out for appointments. Schedule, reschedule, and confirm client appointments. Process client payments accurately. Scan, upload, and maintain electronic documents and records. Assist prospective clients with the enrollment and intake process. Maintain a clean, organized, and welcoming reception and waiting area. Protect client privacy by maintaining strict confidentiality and handling sensitive information appropriately. Perform other administrative duties and special projects as assigned. Key Competencies Excellent verbal and written communication skills with the ability to interact professionally and compassionately with clients, families, and colleagues from diverse backgrounds. Strong organizational, time management, and multitasking skills, with the ability to prioritize competing responsibilities. Ability to manage tasks independently, exercise sound judgment, and work in a self-sufficient manner. High attention to detail and accuracy. Proficiency with computers and common office software; experience with electronic health records (EHR) systems is a plus. Ability to provide exceptional customer service in a fast-paced environment. Understanding of, or willingness to learn, HIPAA regulations and best practices related to patient privacy and confidentiality. Ability to maintain professionalism, discretion, and confidentiality at all times. Qualifications High school diploma or equivalent required; additional administrative or healthcare-related education is a plus. Previous experience in a front desk, administrative, medical office, or customer service role preferred. Strong interpersonal, organizational, and communication skills. Preferred knowledge of HIPAA regulations and experience handling confidential client information. Demonstrated ability to multitask, prioritize workload, and work independently with minimal supervision. Fluency in Spanish and/or Portuguese is a plus.
