Job Description
Overview We are seeking a highly organized, detail-oriented part-time Client Services & Administrative Coordinator to support the day-to-day operations of our financial services practice. This individual will play a key role in delivering exceptional client experience while ensuring the offices run efficiently and smoothly. The ideal candidate enjoys helping others, managing multiple priorities, and taking ownership of both administrative and client service responsibilities. This position is well suited for someone who is proactive, dependable, and committed to providing excellent service to clients and team members alike. This position will provide support 3-4 days per week to our office located in Newburyport, MA with occasional travel to our Manchester, NH office. The successful candidate will regularly work from Newburyport but will support both locations based on business needs, team schedules, and client activities. Duties Administrative Support Coordinate calendars and schedule internal meetings Arrange business travel and accommodations Help ensure a professional, clean, organized, and welcoming office environment Be a culture builder and foster a positive work environment for all team members Order office supplies and manage vendor relationships Receive and distribute mail, deliveries, and supplies Coordinate office maintenance and service providers Maintain business insurance records and renewals Assist with special projects and practice initiatives Support document preparation, filing, and record management Client Service Support Prepare client service materials, reports, and case documentation Maintain accurate client records within the firm's CRM system Update and maintain insurance and investment-related records and systems Client & Team Experience Coordinate team and client birthday, retirement and appreciation gifts Arrange catering and locations for internal and external meetings and events Support a positive and professional office culture through attention to detail and hospitality Qualifications Required High school diploma or equivalent Strong organizational and time-management skills Excellent written and verbal communication skills Proficiency with Microsoft Office, including Outlook, Word, and Excel Ability to manage multiple priorities with accuracy and attention to detail Professional demeanor and commitment to excellent client service Preferred Associate or bachelor's degree Prior experience in an administrative, office management, client service, or financial services support role Experience working with CRM systems Experience supporting insurance, wealth management, or financial planning practices Key Attributes Organized and detail-oriented Reliable and accountable Service-minded and professional Proactive problem solver and multi-tasker Team player with a positive attitude Comfortable working independently and taking initiative Work Location & Travel This is a part-time position primarily based in our Newburyport, Massachusetts office. Occasional travel to our Manchester, New Hampshire office may be required to support advisors, clients, and team initiatives. Reliable transportation is required. This position has the potential to grow to a full-time role in the future.
Pay:
