As our Client Experience Coordinator, you'll be the face and voice of our small animal hospital — overseeing front-office operations, guiding clients through every step of their visit, and ensuring every interaction reflects the gold standard of service we're known for. WHAT YOU'LL DO
Champion an outstanding client experience at every touchpoint — from first call to follow-up Greet clients and patients warmly and manage front-desk flow during busy periods Manage scheduling, appointment reminders, and check-in/check-out processes Handle client communications across phone, email, and in-person with clarity and care Process payments, invoices, and client billing accurately Coordinate with the clinical team to keep the day running smoothly and minimize wait times Drive client engagement through community outreach, digital presence, and marketing initiatives Support client retention through follow-up calls, reminders, and referral programs Maintain accurate client and patient records in the practice management system Maintain compliance with all regulatory, safety, and hospital standards Foster a positive, collaborative team culture rooted in compassion and accountability
WHAT WE'RE LOOKING FOR
✅ Required Demonstrated experience in a client service, front-desk, or veterinary/healthcare reception role Exemplary client service skills — you turn first-time visitors into lifelong advocates Strong organizational and multitasking abilities in a high-volume environment Clear, confident communication skills, both written and verbal Proficiency with practice management software and standard office tools ⭐ Preferred Experience in a small animal hospital or multi-doctor practice Background in veterinary practice marketing (social media, client retention, referral programs) Experience handling billing, invoicing, or payment processing Veterinary Assistant experience
