We are seeking a dependable, organized, and service-oriented Client Services Coordinator to support communication, documentation, account coordination, and day-to-day publishing operations. Position Overview The Client Services Coordinator serves as an important point of contact for authors, researchers, editorial contributors, and other publishing contacts. This position helps manage inquiries, coordinate requests, maintain accurate records, track outstanding items, and ensure information reaches the appropriate internal team. The ideal candidate is professional, responsive, detail-oriented, and comfortable managing multiple communications and deadlines. Previous experience in publishing or scientific environments is helpful but not required; candidates with strong client service and administrative skills are encouraged to apply. Key Responsibilities Serve as a professional point of contact for authors, researchers, editors, reviewers, and other publishing contacts Respond to routine inquiries by email and other communication channels Receive, document, organize, and track client and author requests Provide general information regarding publishing processes, submission requirements, and administrative procedures Coordinate communication between authors and appropriate editorial or publishing team members Assist with organizing manuscript-related documentation and correspondence Track outstanding information, documents, approvals, and follow-up items Maintain accurate contact information and publishing records Assist with author onboarding and provide administrative guidance throughout the submission process Monitor incoming requests and route specialized questions to the appropriate department Prepare routine correspondence, status updates, spreadsheets, and internal documentation Schedule and coordinate meetings or calls when needed Follow up on incomplete documentation and outstanding administrative requirements Maintain organized electronic records and communication histories Help ensure inquiries and service requests receive timely follow-up Support coordination between client services, editorial, production, and administrative teams Assist with resolving routine service issues and escalate more complex matters when appropriate Maintain professionalism and confidentiality when handling unpublished materials and contact information Support improvements to client communication and administrative workflows Assist with additional client service, publishing, and administrative responsibilities as needed Qualifications High school diploma or equivalent required; college education is preferred Previous experience in client services, customer support, publishing, administration, education, healthcare, or a professional office environment is preferred but not required Strong written and verbal communication skills Excellent organizational skills and attention to detail Professional and service-oriented communication style Ability to manage multiple inquiries, tasks, and deadlines simultaneously Strong follow-through and ability to track requests through completion Comfortable working with email, spreadsheets, documents, databases, and web-based systems Ability to maintain accurate and organized digital records Ability to learn publishing terminology, workflows, and company procedures Strong problem-solving and time-management skills Ability to work independently while collaborating with multiple team members Professional discretion when handling confidential or unpublished information Academic or scientific publishing experience is helpful but not required What We Offer Competitive compensation Full-time employment opportunity Training and support for company procedures and publishing workflows Professional and collaborative work environment Hands-on experience in academic and scientific publishing Opportunities to develop client service and publishing coordination skills Exposure to international authors, researchers, and academic professionals Opportunities for professional development and additional responsibilities Why Join Avens Publishing Group?
