Job Summary We are seeking a dedicated and professional Customer Service Representative to join our dynamic team. The Customer Service Representative provides professional and responsive customer service to boutique retailers, hospitals, cancer centers, orthotic and prosthetic facilities, and other healthcare customers. The position handles inbound calls and customer inquiries, processes orders, provides product and order information, assists with returns and exchanges, resolves customer issues, and coordinates with internal departments to ensure accurate and timely service. Products include breast prostheses and mastectomy bras, orthotic medical devices, and lower-limb prosthetic products, including prosthetic feet. Duties Answer inbound customer calls and respond to customer inquiries by phone, email, and other communication channels in a professional and timely manner. Crosstrain in other customer-facing functions, including Inside Sales and Radiant Impressions, and provide backup support as needed to maintain business continuity and customer service coverage. Maintain knowledge of company products, services, policies, procedures, and systems; protect confidential customer, patient-related, and business information; and perform other related duties as assigned. Accurately process customer orders, purchase orders, account information, and related documentation using company systems. Provide customers with product information, pricing, availability, order status, shipping information, and general ordering assistance. Identify opportunities to suggest or promote appropriate products and services and perform a limited amount of sales activity when appropriate to the customer's needs. Process returns, exchanges, credits, replacements, back orders, and other customer requests in accordance with company policies. Research and resolve customer questions, concerns, and complaints while providing appropriate solutions or escalating issues when necessary. Coordinate with Sales, Warehouse, Purchasing, Accounting, Quality, and other departments to resolve issues and ensure accurate and timely order fulfillment. Assist customers with general product selection and information within the scope of the position and refer clinical or technical questions to appropriate personnel. Maintain accurate customer records and documentation and follow up on outstanding orders, requests, and issues. Requirements High school diploma or equivalent required. One to three years of customer service, call center, order entry, inside sales, or related experience preferred. Healthcare, medical product, orthotics and prosthetics, specialty retail, or related industry experience preferred. Experience using ERP, CRM, order management, or similar business systems preferred. Experience in handling high-volume telephone and email inquiries preferred. Excellent verbal and written communication and strong customer service skills. Strong attention to detail and accuracy, particularly with order entry and customer information. Excellent organizational, time-management, and multitasking skills. Strong problem-solving skills with the ability to remain calm and professional when handling difficult customer situations. Ability to learn product information and company systems, work independently and as part of a team, exercise sound judgment, and recognize appropriate sales opportunities.
