Pay:
$20.00-$24.00 per hour Position Overview Kinnie Transportation Group is seeking an experienced, dependable, and highly organized Parts Manager to oversee the purchasing, inventory, documentation, and distribution of parts for our fleet maintenance operation. The ideal candidate will have knowledge of heavy-duty trucks and trailers, maintain accurate physical inventory records, develop strong vendor relationships, and ensure our technicians have the correct parts when they need them. This position plays an important role in controlling maintenance costs, reducing equipment downtime, and keeping our fleet operating safely and efficiently. Key ResponsibilitiesParts Ordering and Vendor Management Answer incoming telephone calls and communicate professionally with vendors, technicians, drivers, and customers. Contact vendors to check pricing, availability, delivery options, and lead times. Look up, research, identify, and cross-reference parts using VINs, serial numbers, unit numbers, and equipment information. Compare pricing among vendors to obtain the best combination of cost, quality, and availability. Determine whether parts are urgently needed or can be included with a scheduled vendor delivery. Avoid unnecessary drop-shipping, special-order, and freight charges whenever practical. Create purchase orders for all parts ordered. Ensure no part is ordered until the appropriate work order has been created. Clearly label special-order parts with the corresponding work order number and unit number. Inventory Management Maintain accurate inventory records and appropriate stock levels. Organize and monitor inventory for parts, chemicals, oils, fluids, batteries, filters, tires, and other maintenance supplies. Maintain an organized core-return area and track all outstanding cores. Establish and follow a reliable system for receiving, storing, issuing, and replenishing inventory. Conduct routine inventory checks and resolve any discrepancies. Ensure all stocked and special-order parts used on a repair are properly added to the corresponding work order. Work Orders, Purchase Orders, and Invoices Create work orders and accurately enter all parts used for each repair. Enter purchase orders and receive ordered parts through QuickBooks. Collect, review, and process parts invoices daily. Submit completed invoices and supporting documentation to the accounting department. Track core returns and confirm that all applicable credits are received. Obtain and retain return slips for all returned cores. Make copies of invoices containing core charges for tracking and reconciliation purposes. Maintain complete and accurate records for purchase orders, invoices, returns, credits, and work orders. Service Department Support Support the Service Manager by answering phones and appropriately directing or handling incoming calls. Respond to routine questions, including vehicle repair-status inquiries. Communicate with drivers who arrive with immediate equipment concerns and help ensure the issue is addressed promptly. Direct breakdowns, customer-specific service matters, and service-scheduling requests to the Service Manager. Assist with breakdown calls and certain customer-related matters when the Service Manager is unavailable. Coordinate closely with the Service Manager, technicians, and drivers to ensure parts are available for scheduled and urgent repairs. Service scheduling will remain the sole responsibility of the Service Manager. Qualifications Previous parts-management experience with a trucking company, heavy-duty repair facility, dealership, or similar operation is preferred. Knowledge of heavy-duty truck and trailer parts and components. Ability to identify and cross-reference parts using VINs, serial numbers, unit numbers, and equipment information. Experience with purchasing, physical inventory management, and vendor relations. Computer proficiency, including QuickBooks, spreadsheets, email, and fleet or inventory-management software. Strong research, pricing-comparison, and problem-solving abilities. Excellent communication and customer-service skills. Strong organizational skills and attention to detail. Ability to manage multiple priorities in a fast-paced environment. Valid driver's license and reliable transportation. Ability to safely lift and move parts weighing up to 50 pounds.
