This role requires strong communication skills, attention to detail, and the ability to adapt quickly in a dynamic environment. Key Responsibilities Customer Engagement & Communication Greet customers professionally and perform thorough active check‑ins. Document customer concerns, unit condition, and service expectations clearly. Maintain regular communication throughout the repair process. Set realistic expectations regarding timelines, warranty coverage, and costs. Repair Order (RO) Management Create accurate, detailed repair orders including complaint, cause, and correction. Complete all required RO fields (status, location, next contact date). Update ROs daily with technician notes, parts status, and progress. Manage RO follow-up and ensure communication logs are updated. Scheduling & Workflow Coordination Schedule jobs based on technician availability and job complexity. Prevent overbooking by blocking time for multi-day repairs. Prioritize jobs based on urgency, parts availability, and customer needs. Warranty & Estimate Handling Identify potential warranty repairs and coordinate pre-authorizations with the warranty advisor. Prepare accurate estimates for non-warranty work. Educate customers on warranty coverage and limitations. Documentation & Compliance Ensure all required documents (pre-auths, parts orders, photos) are attached to the RO. Maintain organized digital and physical records. Follow manufacturer and company policies for warranty and repair documentation. Team Collaboration Work closely with technicians, parts personnel, and warranty clerks to keep jobs moving. Return unresolved tickets to management for review or escalation. Ensure diagnosing technicians receive ROs back for continuity. Customer Delivery & Payment Perform active deliveries, reviewing completed work with customers. Collect payment and obtain signatures before releasing units. Send completed ROs and resolution photos to customers. Provide post-service care instructions and request customer feedback. Continuous Improvement Monitor open ROs and pending feedback daily. Maintain a proactive, organized, customer-focused approach. Participate in training and process improvement initiatives.
