Job Description

Job Summary:
As a Customer Service Assistant, you will ensure that all jobs are expedited through production in a timely fashion and provide additional support to Customer Service Representatives to handle increased sales volume.
Essential Functions:
Responsible for inputting job information into the AS400 with the involvement of the CSR. Provide coverage for CSR's during customer visits, press okays and time away from the office. Learn all necessary department functions to expedite work through the departments. Provide impositions for customer layout. Review job specifications and make the necessary adjustments on stock for sheet utilization due to size and quantities. Work with the scheduling department to provide the necessary information for customer needs. Work with purchasing in advance to orders arriving to ensure stock availability and possible options. Handles special ordering of cartons (boxes for books). Preload jobs with scheduling at the request of the sales representative. Work with CSRs on variances in jobs can be billed in a timely manner. Maintain samples library and requests from sales representatives. Respond to Pardots (requests/comments/concerns from outside people) Attend planning meetings with members of management to ensure jobs are planned accordingly. Update and improve standard operating procedures (SOPs). All other duties as assigned. Knowledge, Skills and Abilities Ability to handle multiple tasks and projects. Ability to remain organized and self-directed in a fast-paced environment. Ability to work in a team environment. Requires a very high level of attention to detail. Maintain professionalism when speaking internally and externally with other team members and customers. Ability to interface with a variety of individuals or groups on a frequent basis. Ability to work with limited direction and supervision, while demonstrating good judgment and strict confidence. Ability to learn computer applications as necessary for the position. Must successfully complete any training or certification courses required to support or strengthen position. Ability to read, interpret and follow verbal and written instructions, work procedures and other related materials. Excellent verbal and written communication skills including strong customer service skills. Must communicate appropriate information accurately and clearly as needed. Demonstrated advanced proficiency with MS Word, Excel, Outlook and Windows based databases. Excellent organizational, project management and time management skills. Ability to work overtime and weekend schedules during peak production periods.
Minimum Requirements:
High School Diploma or equivalent and one year customer service-related experience. Knowledge of the AS400 preferred.
