About the Position McCullough & Associates, LLC is seeking a Client Service Associate (CSA) to join our Wealth Management team. The CSA plays an important role in delivering an exceptional client experience while providing day-to-day administrative and operational support to our financial advisors. This position is ideal for a highly organized, dependable, and service-oriented individual who enjoys working directly with clients and collaborating with a professional team. The CSA will have regular interaction with clients, financial advisors, tax and accounting professionals, and administrative staff. The successful candidate will take ownership of client service responsibilities, communicate proactively, follow through on assignments, and ensure that client needs are handled accurately, efficiently, and with a high level of professionalism. Essential Functions & Responsibilities Client Service & Communication Serve as a primary point of contact for clients and prospects, providing professional, responsive, and courteous service. Communicate with clients regarding account-related requests, documentation, scheduling, and follow-up items. Respond to client inquiries and follow up on outstanding issues in a timely manner. Develop and maintain positive relationships that contribute to client satisfaction and retention. Client & Account Administration Maintain, update, and manage client information and related lists within the firm's CRM system, Redtail. Process client paperwork and assist with new account openings, account transfers, account maintenance, withdrawals, deposits, and other account-related requests. Ensure client documentation is complete, accurate, and properly maintained. Assist with maintaining client files, the firm blotter, compliance logs, and other tracking systems. Advisor & Client Meeting Support Assist financial advisors with the preparation and coordination of client meetings and reviews. Request and organize financial statements, documents, and other information needed for client meetings. Prepare client review materials, including Portfolio Access reports, SmartWorks reports, insurance reports, Morningstar analysis, and other supporting materials as needed. Prepare proposals, applications, forms, and other paperwork for client meetings. Prepare meeting notes and client correspondence. Coordinate and schedule client meetings, phone calls, and teleconferences. Provide follow-up and administrative support after client meetings. Team & Operational Support Provide day-to-day support to financial advisors and the Wealth Management team as directed. Complete assigned workflow tasks accurately and efficiently while maintaining minimal backlog. Follow established firm policies, procedures, processes, compliance requirements, and standards of practice. Assist the Wealth Management team in evaluating and implementing technology solutions and process improvements. Stay current on relevant industry standards, technology, and product sponsor initiatives. Collaborate effectively with the firm's tax, accounting, and administrative teams. Business Development & Client Retention Contribute to the retention and satisfaction of existing clients through exceptional service and follow-through. Support the Wealth Management team in the acquisition and onboarding of new clients and prospects. Secondary Responsibilities — Front Office Backup Greet clients and visitors in a professional and welcoming manner. Answer and direct incoming phone calls. Provide front-office coverage and administrative assistance as needed. February 1-April 15: Full-time tax season support with front office Qualifications & Requirements The ideal candidate will possess: Exceptional attention to detail and accuracy. Strong follow-through and the ability to manage multiple priorities. Dependability, punctuality, and a high level of personal integrity. The ability to handle confidential client and financial information with discretion. The ability to work independently while also collaborating effectively with a team. Strong computer skills, including proficiency with Microsoft Word, Excel, and PowerPoint. The ability and willingness to learn financial industry terminology, systems, and processes. Successful completion of required pre-employment screening, including background and credit checks. Preferred Qualifications Previous experience in the financial services, banking, accounting, or professional services industry. Experience working directly with clients in a service-oriented role. Familiarity with CRM systems, particularly Redtail, is a plus. Basic knowledge of investment and financial planning concepts is preferred.
