Job Description

Job Summary We are seeking a proactive, detail-oriented Client Services & CRM Coordinator to join our growing insurance and financial planning firm. This is a hands-on, multi-functional role combining client service, CRM management, and proactive prospect follow-up. You will play a key role in maintaining our client relationships, managing communication workflows, and ensuring consistent follow-up with prospects generated through workshops and our internal database. This is not a passive administrative position —we are looking for someone who is comfortable taking ownership of systems, communicating with clients, and actively helping move prospects into appointments. Key ResponsibilitiesClient Service & Relationship Management Serve as a primary point of contact for clients (phone and email) Assist with onboarding new clients and maintaining ongoing relationships Provide timely, professional responses to client inquiries CRM Management & Systems Coordination Maintain and manage our CRM system, ensuring data accuracy and completeness Track all client and prospect interactions, follow-ups, and workflows Execute and manage client communication campaigns (email, outreach, reminders) Identify and resolve gaps in systems, processes, and data organization Prospect Follow-Up & Pipeline Support Proactively follow up with workshop attendees to schedule appointments Re-engage prospects within our CRM database through calls and email campaigns Make consistent outbound follow-up calls as part of structured workflows Track outreach activity and results within the CRM Support the movement of prospects through the pipeline into active clients Sales & Marketing Support Assist with tracking leads and updating opportunity pipelines Coordinate follow-up from marketing campaigns and events Help improve outreach strategies based on engagement and results Qualifications Experience in financial services, insurance, banking, or a professional office
REQUIRED
Strong computer and systems skills (CRM experience required; Salesforce, Redtail, eMoney, or similar) Comfortable learning and managing multiple platforms and tools Experience with outbound calls, client follow-up, or lead conversion Excellent verbal and written communication skills Highly organized with strong attention to detail and follow-through Ability to work independently and take ownership of responsibilities What We're Looking For Someone who is comfortable on the phone and not afraid to follow up A professional who can manage both people and systems effectively A team member who is proactive, organized, and results-oriented Someone who wants to grow with the firm and contribute to business development Compensation Competitive salary based on experience Performance-based bonus opportunities Long-term growth potential within the firm
