We operate 8 locations across 5 states and specialize in Utility dry vans, refrigerated trailers, flatbeds, Ottawa spotter trucks, and construction trailers. Job Summary We are looking for a customer-focused Service Advisor to serve as the primary point of contact between our customers and Service Department. This role helps ensure repairs are completed efficiently, customers stay informed, and repair orders are processed accurately from start to finish. Primary Responsibilities Serve as the primary point of contact for Service customers, providing professional support from initial contact through repair completion. Create and manage repair orders, estimates, approvals, invoices, and related documentation. Communicate repair status, recommended work, delays, and completion updates to customers. Coordinate workflow with technicians, shop personnel, parts staff, and service drivers to keep repairs moving efficiently. Ensure labor, parts, subcontractor charges, and supporting records are accurate and complete. Process invoices, collect or coordinate payments, and follow company credit and billing procedures. Maintain accurate customer, equipment, and service records in company systems. Resolve routine customer concerns and escalate issues as appropriate. Maintain an organized service desk, professional work environment, and compliance with company policies and training requirements. Qualifications Strong customer service and communication skills. Strong administrative, organizational, and recordkeeping skills. Ability to manage multiple priorities in a fast-paced environment. Proficient in Microsoft Office applications, including Outlook, Word, and Excel. Ability to accurately enter data, maintain documentation, and use business software systems. Experience in service operations, repair order processing, estimating, or customer support preferred. Ability to work collaboratively with customers, technicians, and management. Physical & Work Environment Requirements Frequent sitting, computer work, phone use, and customer interaction. Regular walking throughout the office, shop, and yard. Occasional bending, kneeling, and climbing into equipment as needed. May occasionally lift up to 25 pounds. Exposure to shop, yard, and outdoor environments, including noise, weather, dirt, and moving equipment. Personal protective equipment (PPE) must be worn when required. Qualified applicants must be able to perform the essential functions of the position with or without reasonable accommodation.
