Job Description

Toledo Spring is a family-owned heavy-duty truck parts and service company looking for an experienced Service Writer / Parts Counter Specialist to join our team. This is a great opportunity for someone with experience in heavy-duty truck parts, diesel repair, service writing, fleet maintenance, trailer repair, automotive parts or a related field who enjoys working with customers and technicians. You will be the connection between our customers, technicians, parts suppliers and shop, helping move repairs from the initial customer concern through completion. What You'll Do Customer & Service Writing Greet and assist walk-in customers and handle incoming phone calls Open and manage repair orders Gather accurate information about customer concerns and equipment Prepare estimates and quotes for parts and labor Communicate repair recommendations and pricing to customers Obtain authorization for repairs Communicate repair status, parts availability and delays Coordinate with technicians and management to keep repairs moving Process completed repair orders and customer payments Parts Counter & Parts Sourcing Identify and source heavy-duty truck and trailer parts Work directly with technicians to determine the correct parts needed for repairs Research parts using measurements, specifications, catalogs, manufacturer resources and industry knowledge Source parts from multiple suppliers Verify pricing, availability and lead times Identify substitute or alternative parts when necessary Place and track parts orders Monitor backorders and communicate delays Receive and coordinate parts for shop repairs
Important:
We are an independent heavy-duty repair facility, not a dealership. We do not rely on VIN lookups for every part. Our parts are frequently identified using measurements, specifications, catalogs, interchange information and technical knowledge. Shop Coordination Work closely with technicians to identify parts needed for work orders Help ensure required parts are available when technicians need them Communicate changes in repair scope between the shop and customer Help prioritize parts and repairs to keep jobs moving Maintain an organized service and parts counter Perform other duties necessary to support our customers and shop What We're Looking For Preferred Experience 2+ years of experience in heavy-duty truck parts, diesel repair, service writing, fleet maintenance, trailer repair, automotive parts or a related field Strong knowledge of heavy-duty trucks, trailers or commercial vehicles Experience identifying parts through measurements, specifications or catalogs Experience working directly with technicians Experience preparing estimates, quotes or repair orders Heavy-duty parts experience is preferred, but not required for the right candidate. We will consider candidates with strong mechanical knowledge, parts experience, service-writing experience or related heavy-duty experience.
