Job Description

Job Summary We are looking for an Order Entry/Customer Service Representative to join out team! In this role, You will be responsible for accurately and efficiently processing all incoming customer orders from big box retailers and online sales channels. The role ensures timely and precise data entry, maintains clear and professional communication with customers and internal departments. The ideal candidate will be detail-oriented, highly organized, and committed to supporting seamless operations and outstanding customer service. Key responsibilities Order processing and management Enter and process all customer orders received via phone, email, online platform, and electronic data interchange (EDI). Ensure all order details, including product numbers, quantities, pricing, and shipping information, are complete and accurate. Validate incoming big box retailer purchase orders against internal records and company requirements. Process online consumer orders from various e-commerce platforms. Generate order confirmations, invoices, and shipping documents as needed. Monitor order status and track progress through the manufacturing, warehousing, and shipping stages to ensure on-time delivery. Customer and internal communication Serve as a point of contact for customer and sales team inquiries regarding order status, tracking, and product availability. Collaborate with warehouse and logistics teams to coordinate shipments to retail distribution centers and direct-to-consumer addresses. Alert sales and management teams to potential issues that could impact customer delivery or satisfaction. Problem resolution and issue management Investigate and resolve issues related to order accuracy, pricing, fulfillment delays, or shipping discrepancies. Process order changes, cancellations, and product returns (RMAs) in a timely and accurate manner. Handle and resolve routine customer issues and escalate complex problems to a manager when necessary. Administrative duties Maintain accurate and organized records of all orders and related documents. Create and provide routine reports on order status. Support administrative tasks and contribute to continuous improvement of the order entry process. Beneficial qualifications (not mandatory) Experience with Electronic Data Interchange (EDI) systems and processes. Familiarity with
IBM AS/400
(or IBM i) systems and CMS (Customer Management System). Understanding of big box retailer compliance requirements, including shipping and labeling protocols. Familiar with Invoicing and credits. Required skills and qualifications High school diploma or equivalent. Proven experience in a data entry, order entry, or administrative role. Excellent attention to detail and a high level of accuracy. Strong organizational and time management skills, with the ability to multitask in a fast-paced environment. Proficiency in Microsoft Office Suite, particularly Excel. Strong verbal and written communication skills. Experience with an order management system, ERP (Enterprise Resource Planning), or database software. Ability to work independently and as part of a team.
