Job Description

About Us PuroClean of Lansdale helps homeowners and businesses recover from water, fire, mold, and storm damage. When something goes wrong at a property, we're who people call — often on the worst day they've had in a while. Our work is fast, hands-on, and genuinely matters to the people we serve. The Role You are the voice on the phone and the person who knows where every job stands. Emergency calls come in and you take them. Adjusters call asking for documentation. TPA reviewers need milestones updated before a deadline. A homeowner wants to know when the crew is arriving. A plumber who sends us work calls with a new referral. You handle all of it — and then turn those conversations into accurate job files that keep our projects compliant, moving, and getting paid. This isn't a passive role. We're looking for someone who knows what's holding up each file, what documentation or approval is still needed, and who to call to move it forward — without waiting to be asked. What You'll Do Answer the phone and own the conversation Take emergency loss calls, triage them, and get crews dispatched with the information they need Keep customers informed with appointment confirmations, arrival windows, and honest status updates Field adjuster, TPA reviewer, and carrier calls on documentation, approvals, and scheduling Receive referral calls, log the source, and follow up with the person who sent us the work Document every substantive call the same day Keep files current and compliant Create job files at intake with complete, verified loss information Review assigned insurance and TPA files daily; chase down what's missing Maintain carrier and TPA compliance in DASH and XactAnalysis — notes, photos, documents, milestones, deadlines Flag files trending toward delay and escalate before they become a problem Keep every file audit-ready Drive claims to approval and payment Track estimate approvals, supplements, and outstanding items Review estimates as needed to answer customer, adjuster, and TPA questions Assemble supporting documentation for supplements and submit through carrier and TPA channels Prepare files for invoicing and payment requests Support file closeout by confirming all required documentation is complete Support the team Back up Mitigation and Construction Project Managers and the Construction Director with notes, paper files, contracts, and change order documents Track project milestones and prepare status information for production meetings What We're Looking For 2+ years in a high-volume phone-based customer service, dispatch, scheduling, or coordination role Someone who stays calm and professional with an upset caller and three other things on fire Strong follow-through — you close loops without being reminded Clear, factual written documentation another person can act on Comfortable working inside a defined process, with real attention to accuracy Able to manage multiple active files and deadlines at once Reliable, and willing to take part in an after-hours on-call rotation Nice to have Background in restoration, insurance claims, construction, or property management Experience with DASH, XactAnalysis, Xactimate, Encircle, or similar platforms TPA program experience — Alacrity, Contractor Connection, Sedgwick, Crawford IICRC certification, or interest in earning one Bilingual English/Spanish Why Here You'll see the whole job, not a narrow slice of it — intake through closeout, mitigation through reconstruction, customer through carrier. You'll work directly with Project Managers, our Estimating team, and leadership, and the work you do visibly moves projects forward. If you like being the person who actually knows what's going on, this is that seat. Work Location In person -
