This is not intended to remain a traditional administrative assistant position. We are looking for someone who can begin by supporting our advisor and clients and, based on performance and business growth, develop into a key member of the firm with increasing responsibility for client service and operations. The Opportunity The Client Service & Operations Assistant will work directly with the firm's founder and Financial Advisor to help manage administrative responsibilities, client service, workflow and day-to-day operations. The right candidate is highly organized, comfortable with technology, excellent with people and takes ownership of getting things completed accurately and on time. Most responsibilities can be performed remotely, but the candidate should be located in the Greater Orlando area and available for occasional in-person meetings, client events or office responsibilities. Primary Responsibilities Client Service Provide professional, warm and responsive service to clients. Assist with scheduling client meetings and follow-up. Respond to routine client requests and ensure requests are completed. Prepare materials and information for client meetings. Follow up on outstanding client paperwork and administrative items. Help create an organized, high-touch client experience. Operations & Administration Assist with new client onboarding and account-opening processes. Track account applications, transfers, service requests and outstanding items. Maintain accurate client information and records. Manage calendars, appointments and meeting preparation. Maintain CRM tasks, notes, workflows and follow-up activities. Coordinate paperwork and administrative requests with financial institutions and internal partners. Maintain organized digital files and operating procedures. CEO/Advisor Support Help protect the advisor's time by organizing and prioritizing administrative responsibilities. Maintain a master task list and track important deadlines. Follow up on delegated projects without requiring constant supervision. Assist with preparation for prospect, client and business-development meetings. Identify recurring administrative tasks that can be systematized or automated. Help document and improve internal operating procedures as the firm grows. Who We Are Looking For The ideal candidate: Has exceptional organizational and follow-through skills. Enjoys serving and interacting with people. Communicates professionally by phone, email and video. Is comfortable learning new technology. Can manage multiple priorities without losing details. Takes initiative rather than waiting to be told every next step. Is dependable and trustworthy. Handles confidential information professionally. Enjoys creating systems and improving processes. Can work independently in a primarily remote environment. Wants increasing responsibility as the organization grows. Technology Skills Candidates should be comfortable with or capable of quickly learning: Microsoft Office / Microsoft 365 Excel Outlook CRM systems Zoom / Teams Cloud-based document management Electronic signature and online account-processing systems AI and productivity tools Financial-services technology experience is a plus but is not required for the right candidate. Preferred Background Experience in one or more of the following is preferred: Wealth management or financial services Banking Insurance Legal or professional services Client relationship management Executive or administrative support Operations High-touch customer service Previous financial-services experience is a plus, but character, organization, communication ability, technology aptitude and initiative are equally important.
Pay:
$15.00 - $18.00 per hour Expected hours: 10.0 - 15.0 per week
