Job Description
Overview BW Builder is a Santa Rosa construction consulting firm specializing in wildfire reconstruction cost estimates, scope of loss reports, and expert witness services. We work with homeowners, attorneys, and insurance professionals during some of the most difficult periods of their lives, and the quality of our client communication matters as much as the quality of our analysis. We are hiring a Client Services Coordinator to support our two principals. This is the person who keeps client communication current, keeps our project pipeline accurate, and makes sure nothing falls through the cracks. It is a real operational role with real ownership, not a task queue. This position begins on a temporary basis with the intent to convert to a permanent W-2 position with BW Builder. We are growing, and for the right person this role has a realistic path to full time. Responsibilities Manage and triage incoming client email, drafting responses and routing what needs principal attention Handle inbound client calls, take detailed notes, and schedule follow-up meetings Own calendar and appointment scheduling for both principals Maintain our client project pipeline in TaxDome, keeping every engagement's status accurate and current Assemble final report packages and supporting documentation for delivery to clients Maintain contact records and client data Prepare and process month-end expert witness invoicing Requirements Strong written communication. You will be drafting client-facing email daily The temperament to work with people who have lost their homes. Many of our clients are in the middle of the worst year of their lives, and how they are treated on a phone call matters Experience managing a project pipeline, CRM, or practice management system. TaxDome experience is a plus but not required Comfort with Microsoft 365, particularly Outlook, Word, and Excel, and with Adobe Acrobat for assembling and preparing PDF deliverables Genuine attention to detail on document assembly and invoicing The judgment to know what you can handle and what needs to go to a principal Discretion. You will see sensitive client and legal matters Prior experience in construction, insurance, mortgage, legal, or professional services is valuable Schedule and Location 20 to 30 hours per week. We prefer a candidate based in Sonoma County. Expect to work in person during the first several weeks so we can train you properly and you can learn how we work. After that, this role can be largely remote, with occasional in-person time as needed. As the firm grows, we anticipate this role expanding, and full-time hours are a real possibility for the right candidate. Our office is 1.2 miles from the downtown Santa Rosa SMART Train Station.
