Job Description
Position Summary The Adoptions, Foster & Client Services Coordinator is responsible for coordinating adoption services, foster program operations, front desk functions, appointment management, and customer service activities. This position serves as a primary point of contact for adopters, fosters, volunteers, rescue partners, and community members while ensuring a positive, professional, and efficient experience for all visitors and clients. The Adoptions, Foster & Client Services Coordinator plays a critical role in supporting animal placement efforts, foster engagement, customer satisfaction, and organizational goals for lifesaving and community service. Essential Functions Coordinate animal adoptions, foster placements, pre-adoptions, and related appointments in accordance with organizational policies and procedures. Conduct adoption counseling and assist adopters in selecting appropriate pets. Coordinate foster applications, onboarding, placements, communications, and follow-up support. Schedule and communicate medical, vaccination, surgery, and follow-up appointments for foster animals. Serve as a primary point of contact for adopters, fosters, volunteers, rescue partners, and members of the public. Respond to inquiries by phone, email, text, and in person in a professional and timely manner. Coordinate front desk operations, visitor flow, and customer service activities. Ensure adoption, foster, and customer records are accurately maintained within shelter software systems. Complete required paperwork, contracts, reports, and data entry accurately and timely. Support intake, adoption, foster, return, and placement workflows as assigned. Promote positive placement outcomes through adoption support, foster engagement, community outreach, and customer service. Assist with special events, administrative projects, and other duties as assigned. Qualifications High school diploma or equivalent required. Customer service, administrative, animal shelter, rescue, veterinary, foster program, or related experience preferred. Experience with data entry, scheduling, recordkeeping, and database management preferred. Strong communication, customer service, and interpersonal skills. Ability to work professionally with individuals experiencing emotional or stressful situations. Ability to manage multiple priorities in a fast-paced environment. Commitment to animal welfare and positive customer experiences. Ability to maintain accurate records and follow established policies and procedures. Physical Requirements Work is performed in both office and animal shelter environments and requires standing, walking, bending, lifting, and handling animals of varying sizes and temperaments. Exposure to cleaning chemicals, animal waste, noise, odors, zoonotic diseases, and outdoor weather conditions may occur. Must be able to lift up to 50 pounds independently and heavier loads with assistance.
