Who You Are As a Customer Service Specialist, you are an adaptable, highly organized commercial real estate professional who thrives in a fast-paced environment. You serve as the operational engine behind successful listing pipelines, seamlessly managing property files, preparing critical real estate contracts, and partnering directly with marketing to ensure properties stand out. You bring a collaborative spirit, professional polish, and a genuine enthusiasm for the commercial real estate industry. In this role, you will: Drive the
Listing Lifecycle:
Build listing files, order property signage, and coordinate digital and print marketing collateral directly with the Marketing Team.
Support Listing Proposals:
Conduct property research, gather competitive market data, and collaborate with marketing to assemble high-impact pitch packages.
Maintain Pipeline Accuracy:
Oversee agent listing pipelines through daily touchpoints and weekly check-ins; monitor listing statuses, renewals, and accurate data dissemination.
Prepare Legal & Deal Documents:
Draft contracts including listing agreements, purchase agreements, buyer/tenant representation agreements, LOIs, BOVs, and addendums.
Handle Financial & Deal Inputs:
Input deal details into internal tracking software, generate commission invoices, and process submissions for payment.
Coordinate Client & Listing Logistics:
Schedule agent/client meetings, property tours, showings, and occasional listing events.
Provide Executive & Office Support:
Manage agent calendars, contacts, and professional social media accounts as requested. What you'll bring:
Experience:
Minimum 2 years of commercial real estate administrative experience preferred.
Education & Credentials:
Bachelor's degree preferred; CRE education or active real estate license (provisional or above) is a strong plus.
Technical Skills:
Proficiency in Microsoft Office Suite (Outlook, Word, Excel) required. CRE & Marketing Tech (Bonus): Familiarity with Smartsheet, CoStar, LoopNet, LocateSC, Crexi, and/or Adobe Creative Cloud (Photoshop, Illustrator, InDesign) is a plus.
