CLASS CONCEPT
The Customer Service Administrative Assistant is the face of the City, responsible for managing the front desk, answering phones, handling various requests, and receiving the public's concerns and questions in a professional manner, all while performing essential administrative and clerical duties to support daily office operations. This position manages office interactions with outside visitors, provides excellent customer service, and performs data entry. This role is also essential in providing support across various city departments, including City Administration, Municipal Court, Utility Billing, Permitting, and Public Works. The Customer Service Administrative Assistant will be a generalist and will need comprehensive knowledge of all on-going operations of the city. This position will be charged with serving as a back-up for the Utility Billing Department, the Municipal Court, and Permitting team. This full-time position serves under the general supervision of the Mayor and City Administrator and takes direction from various department heads to accomplish the mission and objectives of the City of Parker. This position does not supervise other positions and performs related work as required.ESSENTIAL JOB FUNCTIONS
Serve as the primary public contact for City Hall by answering and routing calls through a multi-line telephone system effectively and courteously. Receive, greet, and assist visitors, answer questions; provide information on City services and public events; and directs visitors to appropriate department or staff members. Communicate professionally and effectively with residents, visitors, employees, and elected officials in person, by telephone, and in writing. Takes payments, maintains the cash drawer; handles deposit procedures and petty cash. Perform document scanning, data entry, and other clerical and administrative support functions Receive, sort, and distribute daily mail, packages, and office couriers. Coordinates special projects assigned by various Department Heads, City Administrator, and the Mayor. Coordinate with designated backup personnel to ensure continuous reception and telephone coverage during breaks, lunches, meetings, training, and leave periods. Maintains a professional reception area and contributes to the efficient operation of office. Assists the City Administrator in research; compiles and presents information in an effective manner. Assists the Permit and Public Works teams with permitting and development inquiries/ applications. Assists the Utility Billing Department with monthly billing, billing inquiries, and other routine matters Assists the Municipal Court with docket preparation, mailings, and the processing of Municipal Court citations. TYPICAL QUALIFICATIONS
MINIMUMQUAILIFICATIONS
Minimum of 1-2 years of progressively responsible technical/administrative support experience; preferably in a municipal environment. Ability to communicate effectively, both oral and written, through clear, concise documents/reports. Comprehensive knowledge of Business English, spelling, punctions and math. Ability to use computer software such as Microsoft Office Suite, Adobe, and other applicable database/scheduling/report writing tools. Ability and desire to learn and master additional computer software as necessary for the day-to-day operations of the department. Skill in providing customer service to internal and external customers, including the general public. Ability to work as a team with other departments in the accomplishment of work tasks. Skilled in resolving customer complaints and concerns. Knowledge or research, analysis, interpretation, and report development of complex administrative issues including legal, financial and survey data. Skill in preparing, editing, and developing responses to politically sensitive and/or confidential correspondence. Ability to set priorities and meet deadlines for special projects as assigned. Ability to work independently, with minimal supervision, and use rational judgment in making work related decisions.SPECIAL REQUIREMENTS
Must pass pre-employment drug screening test. Displays enthusiasm for the job, which includes attendance, performance, and conduct. High School diploma or equivalent required Valid Texas Class C Driver s License, with an acceptable driving record Must have excellent computer operation skills to include word processing, data entry, and ability to operate 10-key with speed and accuracy; Microsoft Office products preferred. Must have strong organizational skills and attention to detail. Notary Public, or ability to obtain within one year Occasional availability to work outside office hours with advance notice.PHYSICAL DEMANDS
Work primarily in a climate-controlled office environment. Physical demands consist of sedentary work and minimal physical effort working with light, easy to handle (up to 15 lbs.) materials. Occasional lifting of file boxes during archiving of documents. Boxes may weigh up to 20 lbs. Work performed may occasionally cause fatigue of eyes and fingers. Requires sitting for extended periods of time, manual dexterity and visual acuity in the use of computers.
