About the Role We are seeking a detail-oriented, client-focused Client Service Administrator to join our growing financial advisory team in Tyler, TX. This vital role serves as the primary point of contact for clients, delivering exceptional service while supporting the operational, administrative, and compliance needs of our advisors. You'll help build strong client relationships, ensure smooth day-to-day operations, and allow our advisors to focus on strategic financial planning and client growth. Key Responsibilities Act as the primary point of contact for client inquiries, account transactions, and general support, delivering timely, accurate, and professional assistance. Manage front desk duties, including greeting visitors, handling phone calls with excellent etiquette, and maintaining a welcoming office environment. Support client onboarding (opening new accounts) and ensure a seamless, positive experience for new clients. Process account transactions, including money movements, transfers, and distributions. Maintain and update client information in our CRM system (Wealthbox). Coordinate client meetings, prepare materials, and manage timely follow-ups. Review transactions and documentation for accuracy, completeness, and regulatory compliance (FINRA/SEC standards). Handle administrative tasks such as filing, proofreading documents, correspondence, and office organization. Assist advisors with reporting and other operational needs to improve practice efficiency. Uphold strict client confidentiality and adhere to all firm policies and compliance requirements. Requirements 1-3+ years of experience in client service, administrative, or clerical roles (financial services, insurance, or professional office environment preferred). Experience in insurance processing is highly valued for its relevance to account documentation, transaction handling, and client support. Exceptional attention to detail, strong organizational skills, and the ability to manage multiple priorities effectively. Excellent verbal and written communication skills with a friendly, professional demeanor and strong phone etiquette. Proficiency in Microsoft Office (Outlook, Word, Excel) and comfort learning CRM systems. High integrity and commitment to maintaining confidentiality and regulatory compliance. Ability to work independently while collaborating well with the team. Preferred Qualifications Familiarity with the financial services industry or basic investment concepts. Experience with financial planning tools such as Right Capital or Holistiplan (Canva experience is a plus). Bilingual abilities (a plus). Willingness to pursue industry licensing (Series 7/66/65) in the future is welcome, but licensing is not required for this role. Notary Public license or willingness to obtain one is preferred.
Compensation Salary Range:
$45,000
  • $60,000 annually, depending on experience and qualifications.
