Full job description X Truck Repair LLC is seeking a dependable, organized, and customer-focused Service & Parts Coordinator to join our team. This position combines the responsibilities of a Service Advisor and Parts Coordinator. You will serve as a key point of contact between customers, technicians, vendors, and management while helping coordinate repair orders, dispatch technicians, source and order parts, maintain inventory, and ensure repairs move efficiently from customer intake through final invoicing. The ideal candidate is comfortable working in a fast-paced commercial truck repair environment, can manage multiple priorities, and understands the importance of excellent communication, organization, and follow-through. Key Responsibilities Customer Service & Service Coordination Greet and assist customers professionally in person and by phone. Open, update, and close repair orders. Communicate repair status and updates to customers. Obtain customer authorization for repairs. Coordinate shop workflow and dispatch work to technicians. Prepare repair estimates. Prepare invoices and process customer payments. Address customer questions and concerns professionally. Parts Procurement & Inventory Source and order commercial truck and trailer parts from approved vendors. Verify that the correct parts are ordered for each repair. Track parts deliveries, backorders, and special orders. Receive and inspect incoming parts shipments. Maintain organized and accurate parts inventory. Perform inventory counts as required. Process parts returns. Help ensure technicians have the parts needed to complete repairs efficiently. Vendor Relations Communicate with parts suppliers and other vendors. Build and maintain professional vendor relationships. Coordinate warranty returns and credits. Resolve pricing, order, and shipment discrepancies. Administrative Responsibilities Maintain accurate repair, customer, and parts records. Update information in shop management software. Assist with warranty documentation. Maintain organized documentation for repair orders and parts transactions. Perform additional duties as assigned based on business needs. Required Qualifications High school diploma or GED. Previous customer service experience. Strong verbal and written communication skills. Strong organizational and time-management skills. Basic computer proficiency. Ability to multitask and prioritize in a fast-paced environment. Strong attention to detail. Ability to work effectively with customers, technicians, vendors, and management. Preferred Qualifications Previous experience as a Service Advisor, Service Writer, Parts Specialist, or Parts Coordinator. Commercial truck, diesel, automotive, or trailer repair industry experience. Knowledge of commercial truck and trailer parts. Parts ordering or inventory management experience. Experience using shop management or repair order software. Bilingual English/Spanish. Valid driver's license. Work Environment This position works in both an office and an active commercial truck repair facility. Employees may be exposed to moving vehicles, diesel equipment, grease, dirt, loud noise, and varying weather conditions while moving throughout the facility. The position requires the ability to sit, stand, and walk for extended periods, frequently move between the office, shop, and parts storage areas, and occasionally lift up to 50 pounds. Schedule Full-Time Day, night, and weekend schedules may be available depending on the position being filled. Overtime may be required based on business needs.
