Purpose:
The Client Service Representative (CSR) is the first and last point of contact for clients and their pets that play a vital role in creating positive and lasting impressions. We are seeking a highly organized, quick-learning, and detail-oriented CSR to join our dedicated team. This role is essential for managing patient flow, enhancing communication, and supporting the veterinary medical team by ensuring a welcoming and efficient experience for clients. This role requires exceptional client service and communication skills, along with strong computer literacy, accuracy in handling financial transactions, and the ability to multitask in a fast-paced environment. A friendly, professional demeanor and the confidence to remain composed during high-stress situations are essential.Key Responsibilities:
- Welcome clients and patients with professionalism and empathy during check-in and check-out.
- Manage multiple phone lines and respond to inquiries in a timely and courteous manner .
- A significant amount of time is spent on the phone speaking with clients. Manage client check-ins and check-outs Schedule appointments efficiently and accurately, ensuring appropriate time allocation based on the type of visit and supporting optimal hospital workflow. Maintain accurate financial records and follow proper opening/closing procedures.
- Address client concerns using sound judgment and problem-solving skills.
- Collaborate with the veterinary team to ensure seamless communication and efficient workflow.
- Maintain a clean, welcoming, and organized reception area at all times.
- Remain calm and effective in handling urgent or stressful situations, prioritizing tasks appropriately.
Required Skills:
- Previous experience in veterinary, medical, or customer service setting preferred.
- Excellent communication and interpersonal skills.
- Proficiency with computers and appointment scheduling software (experience with veterinary systems a plus).
- Strong attention to detail and time management.
- Ability to remain composed under pressure and multitask effectively.
- A genuine love for animals and dedication to providing exceptional service.

Work Environment & Physical Requirements:
Availability to work a flexible schedule, up to 40 hours per week, as well as evening and weekend shifts as needed to support hospital operations. Ability to work on computers for extended periods. Must be comfortable handling animals and working in a moderately noisy environment.Education & Experience:
High school diploma or equivalent preferred. Minimum age of 18 At least one year of customer service experience required. Medical background or training in medical terminology is preferred.Job Type:
