The Opportunity We're looking for a motivated, highly organized Client Service Associate to join our growing team in Gig Harbor. This is more than a traditional administrative role. The Client Service Associate is an important part of the day-to-day client experience and works closely with our advisors and operations team to keep client needs, meetings, account activity, and internal projects moving forward. The position also offers the opportunity to assist with marketing, social media, client events, and other firm initiatives, making it a great fit for someone who enjoys variety, takes initiative, and wants to grow alongside the firm. The ideal candidate is someone who is detail-oriented and dependable but also personable, proactive, and comfortable jumping between priorities. You enjoy helping people, take ownership of your work, and understand that the small details often make the biggest difference in a client's experience. What You'll Do Serve as a key point of contact for clients, providing responsive, professional, and friendly service. Partner with advisors to support client onboarding, new account setup, and ongoing account maintenance. Prepare and process account paperwork, transfers, contributions, distributions, beneficiary changes, address updates, account linking, and other client service requests. Coordinate client meetings, manage scheduling, and ensure follow-up items are documented and completed. Prepare for client reviews by gathering information, organizing reports, and assembling meeting materials. Maintain accurate and detailed client records within the firm's CRM and other systems. Track outstanding items and proactively follow up with clients, advisors, custodians, and internal partners. Work closely with advisors, operations, and compliance to ensure client requests are handled accurately and efficiently. Assist with planning and coordinating client events, educational programs, and firm-sponsored activities. Support marketing and social media initiatives, including coordinating content, assisting with social media posts, preparing marketing materials, and helping maintain a consistent firm presence. Assist with newsletters, client communications, event promotions, and other marketing projects as needed. Help identify opportunities to streamline processes, improve workflows, and create an even better client experience. Pitch in on special projects and team initiatives as the firm continues to grow. What We're Looking For 2+ years of client service, administrative, or professional office experience. Experience within financial services, wealth management, banking, or an advisory firm is highly preferred, but we're open to candidates with strong transferable experience. Exceptional organizational skills and attention to detail. Strong written and verbal communication skills. A warm, professional, and client-focused communication style. Confidence managing multiple priorities, deadlines, and follow-up items. Proficiency with Microsoft Office, including Outlook, Word, and Excel. Experience with CRM systems, financial platforms, Canva, or social media management is a plus. Strong judgment and discretion when working with confidential information. A proactive mindset. You don't just wait to be told what needs to happen next. A collaborative attitude and willingness to jump in wherever needed. An interest in learning, growing, and taking on additional responsibility over time.
