Job Description

Overview:
Pacific Crest Planning is seeking an organized, proactive, and relationship-focused professional to join our growing Service Team as a Client Service Coordinator. This role serves as a key connection between our advisors and clients, helping coordinate schedules, manage service workflows, maintain client records, and support an outstanding client experience. Major Responsibilities Serve as primary service support for assigned advisor teams. Coordinate ongoing client service activities, workflows, and follow-up tasks. Manage proactive client scheduling initiatives, appointment coordination, and review calendars. Maintain accurate client information, records, and documentation within CRM systems. Support prospect onboarding and new client setup processes. Prepare materials and documentation for client meetings and reviews. Process post-meeting follow-up items and ensure service activities are completed. Coordinate client appreciation initiatives, gifting programs, and special client recognition efforts. Communicate professionally with clients while helping deliver consistent and high-quality client experience. Collaborate with advisors and team members to support service goals and firm initiatives. Provide secondary front desk coverage and client hospitality support as needed. Qualifications Strong organizational and time management skills. Excellent attention to detail and follow-through. Outstanding verbal and written communication skills. Strong interpersonal skills with a client-first mindset. Ability to manage multiple priorities in a fast-paced environment. Professional, positive, and team-oriented attitude. Strong problem-solving and critical-thinking abilities. Proficiency with Microsoft Office applications, including Outlook, Word, and Excel. Ability to learn and effectively utilize CRM systems and firm technology platforms. Requirements High School diploma or equivalent. Previous experience in client service, administrative support, office operations, financial services, or a related field preferred. Experience working with CRM systems preferred. Ability to maintain confidentiality and professionalism. Must be able to pass a background check. Must be able to occasionally assist with client events or firm functions outside of normal business hours.
Pay:
$18.00 - $27.00 per hour Expected hours: 40.0 per week
