About us Safe and Vault Store is an online retailer of home, business, and commercial security products. We have sold more than 150,000 safes since 2007. We are a small team, which means the person in this seat owns real work, talks to real customers, and sees the results of what they do the same week they do it. About the role This is a customer service job first. You will spend most of your day on the phone and in email helping customers with orders, delivery questions, damaged shipments, and returns, and documenting every issue until it is closed. It is also an operations job. You will process and fulfill orders in NetSuite, process invoices and vendor bills, file freight claims, coordinate deliveries with carriers, and help keep inventory accurate. We are telling you both halves up front because the breadth is the point. If you want to learn how an entire e-commerce operation actually runs, from the customer call through to the invoice, this seat will teach you that faster than almost anywhere else. If you are looking for a narrow script to follow, this is not the right job. What you will do Answer inbound customer calls and own each issue from first contact through resolution Work multiple email inboxes and keep cases documented and closed in our system Track shipments through our carriers, and fulfill the matching orders Chase late purchase orders for updated ship dates and keep customers informed before they have to ask Coordinate freight delivery appointments, including liftgate and residential requirements Process returns and refunds, and file freight claims on damaged shipments Process accounts payable and accounts receivable and make sure invoices balance Order shipping and office supplies, and reconcile inventory counts on a schedule Notice the parts of this job that are repetitive, and help us find better ways to do them What we are looking for One to three years in customer service, order fulfillment, or e-commerce operations Genuinely comfortable on the phone, including with customers who are frustrated Organized enough to keep a dozen open issues straight without dropping one Accurate with numbers and detailed enough for invoices and reconciliations Picks up new software quickly and is not intimidated by an unfamiliar system Notices when something is being done the hard way, and says so High school diploma or equivalent required. Coursework or a degree in business, accounting, or communications is a plus Nice to have NetSuite, or any other ERP or order management system Accounts payable or accounts receivable experience Familiarity with LTL freight, carriers, or damage claims You already use AI tools like ChatGPT or Claude and have an opinion about what they are good at and where they fall down.
