ABOUT THE CLUB
Woodinville Sports Club is a growing racquet, golf, and fitness club built around Tier 1 Academy, our junior and adult training program and the club's main growth engine.
WHY THIS ROLE
The Athlete Services Representative is the first point of contact at Woodinville Sports Club — the person at the desk who sets the tone for every member visit. This role delivers professional, concierge-style service: welcoming members, resolving needs on the spot, and connecting people to the programs they'll enjoy. ASRs are fully trained in both product knowledge and service standards, and focused on making today's member experience better than yesterday's.
WHAT SUCCESS LOOKS LIKE
- Members felt welcomed and cared for at every interaction.
- Requests and issues were resolved before they became complaints.
- The desk, lobby, and member areas looked clean, organized, and ready for business.
- Member questions were answered directly, without unnecessary handoffs.
- Opportunities to connect members with programs and events were identified.
- Every department worked together as one team.
KEY RESPONSIBILITIES
Member Welcome & Hospitality Greet and engage members — by name whenever possible — anticipate needs, make introductions between members and staff, and create opportunities to connect members with programs and events they may enjoy. Concierge-Style Service Take ownership of member requests and questions until they are resolved. Close the loop, follow up after issues are addressed, and eliminate the "someone else will handle it" mentality. Product Knowledge Build and maintain baseline fluency across all club offerings — tennis, golf, pickleball, Tier 1 Academy, fitness, personal training, camps, lessons, memberships, events, and tournaments — and confidently answer questions without unnecessary handoffs. Front Desk Operations Handle check-ins, bookings, registrations, and point-of-sale transactions accurately, and complete opening, shift-change, and closing checklists consistently. Golf Desk Operations Monitor driving range access, process payments via POS, and handle daily opening and closing procedures. You'll also keep the golf desk organized, restock range buckets and supplies, and assist with till balancing and end-of-shift documentation. Club Presentation Keep the club looking its best during your shift. Front desk shifts include light housekeeping as part of the routine — tidying the desk and lobby, resetting common areas between sessions, restocking supplies, wiping down surfaces, and keeping courts and member spaces guest-ready. Everyone on the team pitches in here; it's what keeps the club feeling first-class. Communication & Teamwork Share important member information across departments, respond to club emails and lobby inquiries promptly, document notable incidents, and escalate to the Manager on Duty when needed — not by default. Club Readiness Identify and communicate maintenance, cleanliness, and safety issues so every area members see is presentation-ready. Secondary Responsibilities Depending on performance, ASRs may be assigned a secondary role. This will be based on skillset and business needs and may include administrative tasks or cross-department support.
THE IDEAL CANDIDATE
- A hospitality mindset — warm, professional, and genuinely enjoys serving people.
- An ownership mentality — closes the loop rather than passing issues along.
- A fast learner who builds product knowledge across all club offerings.
- Reliable, organized, and consistent with checklists and procedures.
- Comfortable staying on your feet and keeping the club looking sharp.
- Flexible with scheduling, including evenings and weekends.
- Prior experience in hospitality, retail, fitness, or customer service is a plus but not required — we train.
