Description We are looking for a Client Services Representative to support daily office operations and deliver attentive service to clients in Wisconsin. This position blends front-desk coordination, administrative support, and account-related assistance in a detail-focused financial services environment. The ideal candidate is organized, detail-focused, and comfortable managing both client-facing interactions and behind-the-scenes documentation with accuracy and care.
Responsibilities:
- Welcome clients and guests warmly while creating a welcoming and detail-focused front-office experience.
- Manage inbound and outbound mail by receiving, organizing, and distributing items in a timely manner.
- Track office supply levels, replenish inventory, and coordinate orders to keep the workplace running efficiently.
- Digitize records, organize documentation, and maintain accurate physical and electronic filing systems.
- Update and maintain client information within the CRM system to support reliable recordkeeping and communication.
- Proofread letters, forms, and other written materials to ensure accuracy and readability.
- Support special assignments and provide general administrative assistance across the office as business needs arise.
- Prepare and submit documentation for both new and existing accounts and coordinate follow-up activities as needed.
- Assist with client account servicing by working with external partners, handling check processing, monitoring fund movements, and assembling meeting materials for upcoming client appointments. Requirements
- Experience in administrative support, client service, or office coordination roles.
- Strong written and verbal communication skills, including the ability to interact professionally with clients and colleagues.
- Excellent attention to detail when handling documentation, financial forms, and data entry.
- Proficiency with office systems and databases, including maintaining accurate client records.
- Ability to manage multiple priorities, stay organized, and complete tasks with minimal supervision.
- Comfortable handling inbound calls, client inquiries, and general office responsibilities in a fast-paced setting.
- Experience supporting client relations, account administration, or financial service operations is preferred.
