Job Description

Overview Join our dynamic dental practice as a Dental Front Office Specialist, where you'll be the welcoming face and efficient coordinator that keeps our office running smoothly. This vital role combines exceptional patient service with administrative excellence, ensuring every patient experience is positive from the moment they walk through the door. You'll handle a variety of front desk duties, manage appointment scheduling, verify insurance coverage, and support the clinical team with accurate documentation. Your energetic attitude and attention to detail will contribute to creating a friendly, organized environment that patients trust and appreciate. Responsibilities Greet patients warmly and provide outstanding customer service, ensuring a positive first impression. Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and communication skills. Schedule appointments efficiently using dental practice management software such as Dentrix, coordinating with clinical staff to optimize daily workflow. Verify insurance coverage and benefits using systems like Epic, Meditech, Athenahealth, or EMR platforms; perform insurance verification and pre-authorizations. Collect payments, process medical collections, and handle billing tasks utilizing medical coding knowledge including
CPT, ICD-9/10
codes, and medical billing procedures. Maintain accurate patient records by updating medical histories, managing dental and medical records in electronic health record (EHR) systems such as eClinicalWorks or Meditech. Review documentation for completeness and accuracy while ensuring compliance with HIPAA regulations and health information management standards. Assist with intake procedures, including patient registration, data entry using 10-key typing skills, and explaining treatment plans or office policies. Support office management tasks such as filing, appointment reminders, and managing multi-system software like Dentrix to streamline clinic operations. Experience Prior experience working in a dental clinic or medical office environment is highly preferred; familiarity with dental terminology and clinic workflows is a plus. Demonstrated proficiency in medical administrative support including insurance verification, billing, coding (ICD-10/ICD-9), and documentation review. Strong computer skills with experience using practice management software (Dentrix), EMR/EHR systems (Epic, Meditech), and Microsoft Office Suite. Excellent customer service skills with the ability to communicate effectively in bilingual settings is desirable. Knowledge of HIPAA regulations, medical terminology, CPT coding, ICD coding standards, and Medicare guidelines ensures compliance and accuracy in documentation. Experience handling medical collections and familiarity with health information management practices enhances your ability to support both clinical and administrative teams effectively. Office experience involving front desk operations, scheduling coordination, phone etiquette mastery, filing systems, and multi-line phone systems will set you up for success in this role.
