Full Job Description Summary:
The Classroom and Event Specialist provides logistical, classroom coordination, and producing support to the CLDS program on-site at Gunter Annex, Maxwell AFB. The Specialist serves as the primary point of contact for classroom scheduling and readiness and for coordination of assigned activities. Duties include configuring instructional spaces and verifying audio/visual (A/V) readiness, serving as a Producer for in-person and virtual training sessions, and providing logistical coordination for ceremonies and Distinguished Visitor (DV) visits under the direction of the Government representative.
Limits of authority:
The Classroom and Event Specialist does not perform inherently governmental functions and does not exercise decision-making authority over resource allocation, approval of facility actions, or policy determinations. All PMTS personnel in this role are cross-trained and expected to independently perform the full range of facility, classroom, and event support tasks described below, without reliance on another individual for any specific skill.
Job Duties:
Physical setup: Configure classroom layout, including desks, seating, and podium arrangement, and print desk nametags and similar items.
A/V readiness:
Conduct pre-event checks of all applicable equipment, including projectors, microphones, Video Teleconference (VTC) systems, and smart boards.
Troubleshooting and escalation:
Perform basic troubleshooting (power resets, cable verification, and basic diagnostics). Escalate unresolved issues to the contract team Multimedia Specialist; if the issue cannot be resolved at that level, escalate to the organization's Educational Technology Manager (Government representative) for coordination and resolution.
Turnover:
When required, restore rooms to the standard baseline configuration at the end of each training day.
Classroom cleanliness and upkeep:
Keep assigned instructional spaces clean, orderly, safe, and professional. Maintain general classroom organization, police the area before and after instruction, remove trash and debris generated during training, and keep instructional materials, equipment, and surfaces (e.g., whiteboards) ready for use. These duties are incidental to instructional support and do not replace or duplicate base custodial services.
Virtual support and real-time assistance:
Provide immediate, real-time technical and navigational assistance to students through approved communication platforms during training sessions.
Student communications monitoring:
Monitor virtual chat rooms, forums, and communication channels so student questions are promptly answered or routed to the instructor.
Resource deployment:
Post Government- or instructor-approved materials, reference links, and supplemental files to the virtual classroom or designated repository as directed.
Virtual classroom management:
Help manage the virtual classroom environment to minimize technical disruptions, mute background noise, and manage participant permissions.
In-classroom producing:
Ensure in-classroom technology is operational in accordance with Classroom and Training Area Configuration (Duty 1), and provide active assistance during physical classroom sessions as needed (e.g., advancing slides and playing media files).
Event logistics:
Coordinate venue reservations, parking, and logistical support. All coordination actions are first initiated with, and aligned to, the organization's Government representative before engaging external agencies.
Itinerary development:
Draft itineraries for Government review and approval.
Liaison coordination:
Serve as a coordination point of contact with supporting agencies to synchronize schedules and resources.
Formal and ceremonial setup:
Prepare event materials in accordance with AFI 34-1201 and applicable local guidance.
Post-event:
Help restore event spaces and provide feedback or issue summaries on request. Qualifications High school diploma or equivalent.

Required Skills:
Coordination and communication: Ability to work in both in-person and distance learning classroom environments and to coordinate effectively with multiple stakeholders, including Government representatives and organizations sharing building space. Clear written and verbal communication skills sufficient to document issues, provide updates, support coordination activities, and address student needs.
Organization and task management:
Ability to manage multiple concurrent tasks, prioritize workload, and meet established timelines for classroom setup and readiness and for event support.
Cross-functional capability:
Ability to independently perform the full range of facility, classroom, and event support tasks, with sufficient breadth of skills that the program does not rely on a single specialized individual.
