at Creative Circle, LLC in Lake Bluff, Illinois, United States Job Description Our Healthcare client is seeking a Publication Review Specialist to join their team for the next 12 months, 40 hours/week. This role is hybrid onsite 3 days a week in Lake Bluff, IL. Role Summary The Publication Review Specialist supports Integrated Discovery Operations with a primary focus on publication management and compliance. This role is responsible for ensuring publications meet compliance and intellectual property requirements prior to review, coordinating publication workflows from submission through approval, and supporting operational compliance activities including vendor payments, sponsorships, memberships, and training database maintenance. The ideal candidate is highly organized, detail-oriented, and able to work independently while collaborating effectively across multiple functions and levels of the organization. Top Must Have Skills Publication review and quality control experience with strong attention to detail Database management and record maintenance experience Ability to manage multiple workflows, deadlines, and stakeholders simultaneously Strong organizational, problem-solving, and issue-resolution skills Excellent verbal and written communication skills Ability to work independently and drive tasks to completion Experience handling confidential information and maintaining compliance with policies and procedures Proficiency in tracking, reporting, and process management systems Additional Qualifications 3-5 years of experience in operations, compliance, publication management, or a related function Ability to quickly learn and adapt to diverse scientific publications ranging from preclinical to clinical content Experience working in regulated environments and supporting compliance-related processes Demonstrated ability to collaborate effectively with cross-functional teams and senior stakeholders Strong sense of accountability and follow-through Experience supporting vendor payment processes, sponsorships, exhibits, or membership administration is preferred Proficiency with database and document management systems Ability to identify exceptions, troubleshoot issues, and implement solutions Responsibilities Publications Management Conduct quality control reviews of publications submitted by authors to ensure compliance with publication policies and intellectual property requirements prior to submission into the review system. Serve as the primary point of contact for publication processing and tracking from initial request through final approval. Monitor publication timelines and proactively drive progress by coordinating with publication leads, leadership, and legal reviewers to meet established deadlines. Partner with authors to ensure all required documentation is accurately filed and maintained within appropriate systems. Support compliance with publication policies and procedures throughout the publication lifecycle. Adapt quickly to review a wide range of publication types, including both preclinical and clinical materials. Operational Compliance and Administrative Support Manage operational compliance processes required to facilitate vendor payments, sponsorships, exhibits, and memberships. Execute established procedures to maintain compliance-related records and databases. Support maintenance and accuracy of the R D Discovery compliance training database. Identify, investigate, and resolve data discrepancies, exceptions, and process issues. Ensure all activities are conducted in accordance with applicable corporate policies, procedures, and compliance requirements. Handle sensitive and confidential information with a high degree of professionalism and discretion. Collaborate effectively with employees, internal teams, and management at all levels to support operational objectives and business needs. In this position, you may have access to client or customer systems, confidential and/or proprietary information or data, including medical data. This position is onsite and requires you to work closely with other individuals in a collaborative team environment. Additionally, drug products may be present in the workplace.
