Administrative & Creative Assistant Charles Gruwell Design Studio Overview Charles Gruwell Design Studio is seeking a highly organized, resourceful, and creatively minded Administrative Assistant to support our interior design practice. This position combines traditional administrative responsibilities with graphic presentation work, client and vendor communication, billing support, and digital content creation. The ideal candidate is comfortable working with both creative and business-related tasks. You should be technologically confident, detail-oriented, able to manage multiple priorities, and experienced with Canva, ChatGPT, Google Workspace, Microsoft Office, and Adobe applications. An interest in interior design, architecture, hospitality, or the visual arts is strongly preferred. Responsibilities Provide day-to-day administrative and organizational support to Charles Gruwell and the design studio Manage calendars, appointments, meetings, reminders, and project deadlines Prepare and organize client correspondence, proposals, presentations, reports, and project documents Create and edit marketing materials, brochures, presentation decks, and other visual content using Canva and Adobe products Use ChatGPT and other digital tools to assist with writing, research, presentations, marketing materials, and office efficiency Maintain organized digital and physical files for clients, projects, vendors, invoices, and purchasing records Create and maintain spreadsheets for project tracking, budgets, expenses, purchasing, and other studio needs Assist with invoicing, billing, payment tracking, expense documentation, and basic bookkeeping Communicate professionally with clients, vendors, contractors, sales representatives, and other project partners Proofread documents and ensure all outgoing materials are polished, accurate, and professionally presented Assist with sourcing products, organizing specifications, requesting pricing, and following up with vendors Perform basic graphic design, image editing, document formatting, and presentation layout Help coordinate marketing outreach, email communications, and social or digital content as needed Handle confidential client and business information with discretion Anticipate needs, follow through on assignments, and help keep projects and daily studio operations moving forward Required Skills and Qualifications Previous administrative, executive assistant, personal assistant, or office support experience Strong proficiency with Canva Confidence using ChatGPT and other AI-assisted tools effectively Proficiency with Google Workspace, including Gmail, Google Docs, Google Sheets, Google Drive, and Google Calendar Proficiency with Microsoft Office, particularly Word, Excel, Outlook, and PowerPoint Familiarity with Adobe products such as Acrobat, Photoshop, or InDesign Strong spreadsheet, billing, invoicing, and record-keeping abilities Basic graphic design skills and a good sense of visual composition, typography, and presentation Excellent written and verbal communication skills Strong proofreading and document-formatting abilities Exceptional organization, accuracy, and attention to detail Ability to prioritize assignments and manage multiple projects simultaneously Professional, dependable, proactive, and comfortable working independently Ability to learn new software and digital systems quickly Discretion when handling confidential business and client information Preferred Qualifications Experience supporting an interior designer, architect, creative professional, or small business owner Familiarity with interior design terminology, product sourcing, purchasing, or vendor coordination Experience creating polished marketing brochures and client presentations Experience with bookkeeping or accounting software Interest in luxury residential, boutique hospitality, furniture, art, and design Ideal Candidate The successful candidate will be equally comfortable organizing a spreadsheet, preparing an invoice, drafting a professional client email, and laying out a polished presentation in Canva. We are looking for someone who takes initiative, communicates clearly, notices details, and enjoys bringing order and visual refinement to a busy creative studio.
