- Live Events / AV Job Summary The Production Manager ensures the successful execution of each production sold to the client.
In advance of each assigned job, the Production Manager develops a comprehensive understanding of the scope by meeting with the Sales Executive, reviewing the contract in R2, and reviewing all documents in the show folder. The Production Manager must understand the job's technical systems, decorative elements, labor schedule, and logistics. This person leads the onsite crew and serves as the primary FROST point of contact for the client and venue. Pre-Production Responsibilities Advance each assigned job with the assigned Sales Executive to develop a comprehensive understanding of the scope of work. Hold production meetings with key personnel to review upcoming jobs in detail. Finalize the equipment specification in R2 for assigned jobs, with assistance from department heads as needed. Work with department heads and the drafting department to finalize floor plans, lighting plots, and renderings before the job ships. Confirm all required drawings are included in the job book before the job ships. Gather information about the job site through site visits, venue resources, Google Earth, and other available sources, and use that information to streamline load-in and load-out logistics and avoid execution issues. Ensure relevant production, schedule, and logistics information is documented in R2 and/or the job book and communicated to the warehouse and department heads as jobs are pulled. Track all custom fabrication and scenic elements and confirm they will be completed before the ship date. Coordinate subrentals with department heads, place rental orders when applicable, and work with warehouse managers to confirm they are ready to ship on time. Coordinate with Sales on job-specific purchases such as carpet, vinyl, printed materials, fabric, decor elements, and related items. Communicate job-specific truck-pack and transportation instructions to warehouse managers. Identify material scope, budget, schedule, staffing, or technical risks early and communicate them to the Sales Executive and General Managers before execution. Onsite Responsibilities Supervise assigned crews during installation, show activity, and strike. Serve as the primary FROST point of contact for the venue and client onsite. Communicate with the venue and client throughout installation and alert the Sales Executive and General Managers, as appropriate, to any major change affecting the budget, timeline, or ability to execute the agreed scope of work. Track crew hours and complete the Crew Call Sheet for each onsite job. Coordinate crew breaks, meals, and hydration based on the production schedule and company policy. Monitor full-time and freelance staff and address unsafe work or violations of standard industry safety procedures promptly. Communicate production-schedule changes promptly to affected staff and document material changes in R2 and/or the job book. Complete an incident report when anyone is injured, equipment is damaged, or FROST or another vendor causes damage to the venue. At project close, submit crew hours, incident or damage documentation, and material equipment, rental, purchase, or scope changes needed for job reconciliation. Perform other duties reasonably related to the role, as assigned by the General Managers. Qualifications and Skills Demonstrated experience supporting or managing live events, event production, AV, technical theater, or comparable productions. Working knowledge of audio, video, lighting, rigging, scenic, labor, and event logistics, with the judgment to involve department experts when needed. Experience leading onsite crews and communicating professionally with clients, venues, vendors, and internal teams. Strong organization, attention to detail, communication, and time-management skills across multiple active jobs. Ability to remain calm, make sound decisions, and solve problems in fast-paced, high-pressure production environments. Experience with R2 or similar production-management software preferred; familiarity with Microsoft Office, Google Workspace, and event drawings is also preferred. Physical Requirements and Work Environment Ability to stand, walk, bend, and move for extended periods during event production. Ability to lift and move production materials or equipment up to 50 pounds, with or without reasonable accommodation. Ability to work safely in office, warehouse, and event environments with varying noise, lighting, weather, and site conditions, including use of required PPE. Ability to travel to event sites and work evenings, weekends, and extended hours based on production schedules.
