Residential Production & Purchasing Manager

Job Description

Position Summary We are seeking an experienced, organized, and hands-on Residential Production & Purchasing Manager to oversee the systems that keep our construction projects moving. This key position is responsible for purchasing, purchase orders, vendor pricing, subcontractor relationships, budgeting, master scheduling, and overall production management. This role works closely with field superintendents, vendors, accounting, and ownership to ensure projects are properly planned, purchased, scheduled, and completed on time and within budget. Project Planning & Pre-Construction Collaborate with architects, engineers, vendors, subcontractors, and internal team members during pre-construction. Review plans and specifications for constructability, completeness, and cost efficiency. Develop and maintain project budgets prior to construction. Coordinate project start readiness, including plans, selections, permits, material lead times, vendor availability, and purchasing. Maintain accurate scopes of work and pricing for subcontractors and suppliers. Identify long-lead materials and purchasing needs before they impact the construction schedule. Production Management & Scheduling Manage the overall production schedule across multiple residential construction projects. Create and maintain accurate construction schedules, milestones, start dates, and projected completion dates. Work closely with field superintendents to ensure projects remain on schedule. Monitor construction progress and identify scheduling delays or production bottlenecks early. Develop recovery plans when projects fall behind schedule. Coordinate subcontractor availability, material deliveries, inspections, and major construction milestones. Maintain a clear 30-, 60-, and 90-day view of upcoming production needs. Maintain accurate project schedules and production information within Buildertrend. Continually improve production systems, templates, and workflows as the company grows. Purchasing & Vendor Management Manage purchase orders for subcontractors, suppliers, and construction materials. Create, issue, revise, and track POs throughout construction. Ensure purchase orders match approved plans, selections, scopes, and pricing. Obtain and compare bids from subcontractors and suppliers. Negotiate pricing and terms with vendors and trade partners. Maintain current pricing for labor, materials, options, and standard construction scopes. Develop and maintain strong relationships with subcontractors, suppliers, and vendors. Identify and qualify new trade partners when needed. Monitor vendor performance, pricing, availability, and reliability. Review and approve additional work and extra PO requests before costs are incurred whenever possible. Project Management & Execution Manage multiple projects at different stages of construction. Coordinate closely with superintendents, subcontractors, suppliers, inspectors, and internal staff. Conduct regular project and schedule reviews with field staff. Visit jobsites as needed to review progress, vendor performance, and production issues. Help resolve construction, scheduling, purchasing, or vendor issues that may impact completion dates. Track project costs, change orders, and cost variances. Maintain accurate project documentation, including contracts, scopes, bids, purchase orders, change orders, and pricing. Ensure Buildertrend accurately reflects current project information, schedules, budgets, and committed costs. Client Communication Work with the sales and construction teams to ensure customer selections and changes are properly documented and communicated. Assist with pricing and coordination of customer-requested changes. Help ensure customer decisions do not create unexpected schedule or budget issues. Support the construction team in delivering a professional and organized customer experience. Financial Oversight Develop and manage project budgets. Maintain master pricing and construction cost information. Review subcontractor bids, purchase orders, change orders, and vendor pricing. Track committed costs, actual costs, and projected costs. Monitor cost-to-complete and project profitability. Identify budget variances and determine the cause. Review invoices and extra-cost requests for accuracy against approved POs and scopes. Work closely with accounting to maintain accurate job costing. Identify opportunities to reduce construction costs without sacrificing quality. Team Leadership Work closely with superintendents and assistant superintendents to maintain production schedules and project expectations. Help hold field staff, subcontractors, and vendors accountable to agreed schedules and scopes. Foster strong, positive relationships with trade partners and suppliers. Promote a culture of accountability, organization, craftsmanship, and professionalism. Help develop and improve company-wide production processes and standards. Communicate significant schedule, budget, vendor, or production concerns to ownership. Support team members through training, coaching, and consistent expectations. Qualifications Required 5+ years of residential construction, production management, purchasing, estimating, or construction project management experience. Strong knowledge of residential building practices, construction sequencing, and codes. Experience managing construction budgets and schedules. Experience working directly with subcontractors, suppliers, and vendors. Strong understanding of purchase orders, scopes of work, bids, and construction pricing. Proven ability to manage multiple projects and priorities simultaneously. Strong organizational and follow-up skills. Strong communication and negotiation skills. Ability to read and understand construction plans and specifications. Proficiency with construction management software or the ability to quickly learn new systems. Conduct all business matters with professionalism and integrity in every interaction with staff, clients, trade partners, vendors, and other stakeholders. Preferred Experience with Buildertrend or similar construction management software. Previous experience with a production or semi-custom homebuilder. Experience in purchasing, estimating, or construction operations. Minimum 2-year formal education in Construction Management, Engineering, Business, or related field. OSHA certification.
