$65,000-$75,000 Position Overview The Production Manager is responsible for the coordination, procurement, production, inventory management, and fulfillment of physical marketing assets that support our clients' campaigns, community initiatives, sponsorships, events, and branded experiences. This role serves as a key operational partner to internal teams and external vendors, ensuring that materials are sourced, produced, organized, and delivered accurately, on time, within budget, and in alignment with client and brand standards. The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing multiple projects, vendors, timelines, and budgets simultaneously. The Production Manager will also play a key role in developing and improving agency systems and processes related to ordering, inventory, fulfillment, and event logistics. A significant strategic initiative for this position will be helping lead the evaluation, implementation, and ongoing management of an internal e-commerce storefront/web-to-print portal designed to streamline the ordering and customization of branded materials. While this role directly supports client work, it is primarily an internal operational role and is not client-facing (some exceptions may apply). Key Responsibilities Ordering, Procurement & Vendor Management Manage sourcing, estimating, purchasing, production, and delivery of client materials, including promotional products, branded merchandise, signage, print collateral, apparel, giveaways, event supplies, and other marketing assets. Obtain, evaluate, and compare vendor quotes to identify cost-effective solutions while maintaining quality and brand standards. Build and maintain strong relationships with printers, promotional product suppliers, fabricators, event vendors, shipping providers, and fulfillment partners. Negotiate pricing, production schedules, lead times, and delivery requirements to maximize efficiency and budget performance. Coordinate the full production lifecycle of physical marketing materials, from initial specifications and artwork through production, quality control, and delivery. Maintain organized records of estimates, purchase orders, invoices, production timelines, vendor communications, and delivery tracking. Proactively identify opportunities for cost savings, process improvements, and greater operational efficiency. Storefront & Ordering Platform Management Help lead the evaluation, selection, implementation, and launch of an internal e-commerce storefront or web-to-print portal for streamlined ordering of branded materials. Build and maintain product catalogs, ordering processes, user access, and other platform settings as needed. Coordinate with internal teams and external platform partners to ensure the storefront supports agency workflows and brand standards. Help develop and maintain customizable templates and ordering tools that provide flexibility while protecting established brand guidelines. Manage ongoing platform updates, product additions, pricing, inventory information, and process improvements. Establish standardized workflows and guidelines to make ordering easier, more efficient, and more consistent across the agency. Inventory, Fulfillment & Asset Management Oversee inventory of promotional items, branded collateral, trade show materials, signage, event assets, and other physical marketing materials. Monitor inventory levels and proactively coordinate reorders to prevent shortages, rush fees, or project delays. Maintain organized storage systems and accurate inventory records. Coordinate packing, fulfillment, shipping, and distribution of materials for client campaigns, sponsorships, and events. Coordinate with fulfillment and shipping partners as needed to ensure materials arrive accurately and on schedule. Develop efficient systems for tracking inventory, assets, and materials across multiple projects. Event Logistics & Kitting Coordinate the ordering and fulfillment of event-related materials, including booth displays, signage, branded merchandise, promotional giveaways, apparel, printed materials, and event supplies. Develop and organize event kits, activation materials, documentation, and other resources needed for successful event execution. Coordinate production and shipping timelines to ensure materials arrive at the appropriate location when needed. Support the internal team with event logistics, including packing, organization, shipping, and occasional on-site assistance. Ensure event deliverables are consistent with client objectives, timelines, budgets, and brand standards. Coordinate complex or multi-item fulfillment projects, such as new-hire kits, promotional kits, sponsorship packages, or other branded mailings. Agency Operations & Process Improvement Support agency operational processes related to procurement, production coordination, fulfillment, inventory, and event execution. Develop and maintain standardized systems, workflows, checklists, and documentation that improve efficiency and reduce errors. Partner with internal teams to establish clear timelines, requirements, and handoffs for production and ordering needs. Track project timelines and proactively communicate potential delays, challenges, or budget concerns internally. Identify opportunities to improve processes, reduce costs, eliminate redundancies, and create scalable systems. Help ensure the agency consistently delivers accurate, high-quality materials with strong attention to detail and follow-through. Qualifications 5+ years of experience in procurement, ordering, vendor management, marketing operations, production coordination, agency operations, or a related field. Experience coordinating vendors, production timelines, shipments, branded materials, promotional products, or event-related materials. Experience with an e-commerce, web-to-print, ordering, or inventory management platform strongly preferred. Strong organizational and project management skills, with the ability to manage multiple deadlines, projects, and priorities simultaneously. Excellent attention to detail and strong follow-through. Strong communication and relationship-building skills. Demonstrated ability to negotiate pricing, manage budgets, compare estimates, and make cost-conscious purchasing decisions. Strong problem-solving skills and the ability to anticipate potential issues before they become problems. Comfortable working in a collaborative, fast-paced environment with shifting priorities. Proficiency with project management systems, spreadsheets, and order/inventory tracking tools. Ability to occasionally lift, move, pack, and organize event materials and shipments. Occasional evening, weekend, or travel availability for events preferred.
