McElroy Law, located in Southpointe (Cannonsburg, PA), is seeking applicants for an Intake Specialist to join our growing team. This is a full-time position that requires in-office work 5 days each week. We are a family-owned firm that provides compassionate legal representation in employment, oil and gas, real estate, and business matters. Our practice area serves clients throughout the Ohio Valley including PA, WV, and OH.
Job Summary:
The Intake Specialist ensures the office is running smoothly at all times. The incumbent is responsible for following a defined protocol for processing leads from initial contact through consultation or referral. In addition, the Intake Specialist represents the organization with professionalism and integrity while maintaining strict confidentiality of organizational and client information.

Work is performed in an office environment. Temperature is regulated. Noise levels are typical of an office environment (e.g., phones, office equipment, light traffic, etc.). While performing the duties of this job, an employee is required to stand, walk, bend, talk, hear, stoop, kneel, use hands and fingers to operate computers and phones, sit for long periods of time, and on occasion lift up to 20-pounds.
Education & Experience :
1. High School graduate 2. 2 or more years of experience working in a legal environment 3. Exceptional written and verbal communication skills 4. Word-processing ability of 50-80 words per minute with high degree of accuracy 5. Excellent attention to detail 6. Strong organizational skills 7. Experience using Microsoft Office software, telephone systems, database systems
Essential Duties and Responsibilities:
1. Communicates with clients and/or potential clients in person, over the phone, and via email; screens, directs, and prioritizes incoming calls and emails to lawyers. 2. Performs the client intake process including taking the initial call, qualifying the lead, sending the intake form, following up on the intake form, conducting conflict checks, scheduling time with the Attorney, drafting the fee agreement and opening the case file. 3. Builds initial client relationships by establishing rapport, instilling confidence in our firm, and making sure prospective clients feel seen and heard. 4. Keeps updated records and detailed documentation of client interactions, concerns, and complaints in the client relationship software (CRM); utilizes CRM to automate the sales funnel and track conversion rates. 5. Conducts new client onboarding including data entry, matter creation, file set up and document collection to ensure proper documentation of the engagement agreement. 6. Works with Owner and marketing vendor to collaborate on lead generation and sales tactics including gathering & recording pertinent information in the firm CRM. 7. Assists in developing legal software including creating templates, maintaining electronic file organization, and keeping information up to date; 8. Reach out to clients to obtain positive reviews and feedback. 9. Perform administrative duties, such as maintaining lawyers' calendars, scheduling appointments, making photocopies, scanning documents, mailing letters, maintaining case files, and closing case files 10. Perform other duties as assigned.
Pay:
$20.00 - $26.00 per hour Expected hours: 40.0 per week
