Proposal Coordinator / Technical Writer
Job Description
- Reviews RFP documents to ensure client requirements are clearly understood
- Prepares compliance matrices/outlines and communicates with staff regarding RFP details, schedules, and action items
- Acts as the central point of contact on assigned proposals for scheduling and coordination
- Supports leading proposal kick-off and color team review meetings
- Analyzes requirements to ensure proposals are fully compliant
- Coordinates and maintains team documentation efforts for RFP responses, including version control and filing of client documents, proposals, quotes, data calls, and final submissions
- Writes, edits, and rewrites proposal content — including technical volumes, executive summaries, management approaches, and past performance narratives — translating input from Subject Matter Experts (SMEs) and Capture Managers into clear, compelling, compliant prose
- Conducts SME interviews and data calls to gather technical information and convert it into well-organized written content
- Develops and maintains reusable templates, boilerplate language, and a content library to improve consistency and efficiency across proposals
- Applies plain-language and technical writing best practices — clarity, active voice, logical flow, audience-appropriate tone — so proposals are easy for evaluators to read and score
- Performs substantive edits and copyedits across multiple contributors' writing to ensure a unified voice, consistent terminology, and adherence to a company style guide
- Creates and edits supporting graphics, tables, and process/organizational diagrams in coordination with SMEs and design staff
- Prepares, assembles, formats, and produces final proposals and qualification packages
- Communicates across teams to gather input and meet deadlines
- Debriefs the team after proposal submission
- Interacts with SMEs, Capture Managers, and corporate staff at all levels, including senior leadership and executives
- Assists with gathering, formatting, and maintaining up-to-date Business Development information, including employee resumes, certifications, past performance descriptions and statistics, and other BD materials
- Performs additional duties as assigned Knowledge, Skills, and Abilities
- 2-5 years of experience in proposal coordination, technical writing, or a related Business Development role
- Demonstrated technical writing experience, including writing or editing complex technical or business documents for a non-technical audience
- Strong command of grammar, style, and editing conventions
- Ability to synthesize input from multiple SMEs into a single, cohesive, persuasive narrative
- Knowledge of the RFP process
- Experience with and understanding of the Shipley Method
- Highly organized multi-tasker with strong attention to detail and commitment to quality
- Team player with an upbeat attitude and collaborative spirit
- Strong communication skills and ability to craft messaging
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel); familiarity with Adobe Acrobat and desktop publishing tools (e.g., InDesign, Visio) a plus
- Bachelor's degree in Marketing, Communications, English, Technical Writing, or a related field highly desirable
- Experience with GovWin, GovDash and SAM.
